Logistics Coordinator – Frozen Food Distribution
The Logistics Coordinator is responsible for supporting the daily flow of Distribution Center logistics activities within a temperature controlled frozen food distribution network. This role manages transportation scheduling, shipment documentation, carrier communication, inventory accuracy, and logistics reporting to ensure efficient, compliant, and cost effective movement of products. The Logistics Coordinator partners closely with warehouse operations, transportation providers, and internal stakeholders to maintain service levels and uphold cold chain integrity throughout the supply chain.

Essential Tasks & Responsibilities
1. Transportation Scheduling & Coordination
  • Schedule inbound and outbound shipments with carriers, brokers, and internal transportation teams.
  • Confirm appointment times, trailer requirements, delivery windows, and special instructions.
  • Monitor shipment progress to ensure on time pickup and delivery performance.
  • Communicate delays, risks, or service issues that may impact operations or customers.
2. Documentation, Compliance & Recordkeeping
  • Prepare and review Bills of Lading (BOL), packing lists, invoices, customs documents (if applicable), and carrier paperwork.
  • Verify seal integrity, trailer temperatures, and shipping documents for accuracy and compliance.
  • Maintain digital and physical records of shipments in accordance with company policy and food safety regulations.
  • Ensure all frozen food logistics activities comply with USDA, FDA, and cold chain handling standards.
3. Inbound Logistics Support
  • Coordinate inbound receiving schedules with warehouse receiving teams.
  • Track inbound load status and communicate discrepancies, shortages, or damaged goods.
  • Ensure proper documentation is available for efficient unloading and WMS receiving workflows.
  • Partner with purchasing, vendors, and carriers to resolve receiving related issues.
4. Outbound Logistics Support
  • Release outbound orders to carriers and confirm load planning requirements.
  • Support loading teams with correct shipment sequencing, routing, and pallet configuration details.
  • Verify outbound trailer conditions and temperature requirements before departure.
  • Track outbound performance and escalate exceptions (missed pickups, late departures, etc.).
5. Data Management, Reporting & System Accuracy
  • Maintain accurate shipment data within TMS/WMS systems.
  • Generate daily/weekly reports for carrier performance, freight costs, and delivery metrics.
  • Support investigations into inventory or shipping discrepancies by validating logistics data.
  • Assist leadership with ad hoc logistics analysis and KPI reporting.
6. Customer & Carrier Communication
  • Serve as the primary communication point between operations teams and transportation providers.
  • Respond promptly to internal and external inquiries regarding shipment status, load requirements, or delivery issues.
  • Maintain professional, solutions oriented‑ relationships with carriers, vendors, and internal teams.
7. Continuous Improvement & Collaboration
  • Partner with Operations, Inventory Control, Shipping, and Receiving to improve workflow efficiency.
  • Provide feedback on carrier performance to support procurement and logistics strategy decisions.
  • Identify bottlenecks or recurring issues and participate in root cause analysis.
  • Support new process rollouts, SOP improvements, and logistics technology enhancements.

Qualifications
  • 2+ years of logistics, transportation, supply chain, or warehouse coordination experience (frozen/cold chain preferred).
  • Knowledge of transportation modes, appointment scheduling, and shipping documentation.
  • Familiarity with WMS/TMS platforms and RF scanning technology.
  • Strong communication, time management, and problem solving skills.
  • Ability to work in fast paced environments with shifting priorities.
  • Proficiency in Microsoft Excel, Outlook, and reporting tools.
