Outreach CoordinatorThe Outreach Coordinator is an entry-level data and research role focused on identifying prospective members, organizing and segmenting audience data, and preparing qualified contacts for the Membership team. This role is not primarily focused on sales, campaigns, or conversions. It offers a strong opportunity to build skills in research, data management, audience development, and outreach strategy, with the potential to grow into more direct outreach execution and shared campaign ownership as experience and audience insights develop What You'll DoProspect Research and List BuildingResearch and identify sources of prospective members - university engineering programs, student chapters, early-career professional groups, firms and other relevant employer or association contacts - prioritizing students, early- and mid-career professionals.Build and maintain a clean, organized prospect database: contact information, source, segment (student, early-career, lapsed member), and outreach notes.Keep the list current through regular data hygiene - deduplication, contact verification, and segment updates.Track each prospect's stage in the outreach funnel (identified → contacted → engaged) and flag readiness for handoff to membership and/or state leaders.Outreach SupportAssist with outreach tasks as directed by the VP of Marketing - scheduled emails, campaign list updates, event attendee lists, and occasional event or campus attendance.Supply the Communications Coordinator with accurate, organized prospect and segment data for email and social campaigns.Help prepare simple outreach materials when necessary.University and Student Chapter ResearchIdentify and maintain a working list of university engineering programs and engineering societies' student chapters, with current contacts at each.Support campus visits, info sessions, and career-fair presence through logistics and list-building, alongside the VP of Marketing or designated staff.Maintain a calendar of student-facing dates - licensure exam timelines, scholarship deadlines, chapter events - to keep outreach timing aligned to prospect needs.Firm RelationsIdentify and build relationships with engineering firms - particularly larger firms with sizable early- and mid-career engineering staff - as another channel for reaching prospective members.Maintain contacts within firms (HR, professional development, or engineering leadership) to identify and reach early- and mid-career engineers directly.Support firm-based touchpoints such as lunch-and-learns, licensure exam prep sessions, or onboarding partnerships that connect NSPE resources to early-career staff.Track firm contacts and relationship status in the prospect database alongside university and chapter sources.Cross-Functional CoordinationCollaborate periodically with states societies' staff and volunteer leaders to gather local contact lists and event information.Coordinate with NICET contacts to share prospect and contact data where audiences overlap.Work with the membership team, which owns onboarding, conversion, and retention once prospects join.NICET SSI Candidate List Support (Secondary)Build and maintain a candidate list for NICET certifications, with a focus on SSI, using the same research and data-hygiene approach as the NSPE prospect list.Coordinate with NICET staff on candidate sources and tracking needs, keeping this list separate from the NSPE database. Secondary to NSPE-facing responsibilities.ReportingReport on pipeline size, list quality, and data completeness to the VP of Marketing on a regular cadence.Flag data trends or gaps - an unstaffed university program, a stale student chapter, etc. - for the VP of Marketing to act on.What We're Looking ForRequiredBachelor's degree or equivalent experience.Strong research and organizational skills, with close attention to accuracy and detail in building and maintaining lists.Comfortable working in spreadsheets and CRM or database tools, or able to learn them quickly.Clear, professional written communication for straightforward outreach tasks.Able to follow direction and established processes closely; this role works under regular oversight from the VP of Marketing rather than setting its own strategy.Willingness to travel occasionally for campus visits, conferences, or NSPE headquarters meetings.PreferredExperience with data entry and list management.Project management experience.Experience with a CRM or contact database tool.
