As Gigantic Playground continues to grow, the agency is seeking a Project Coordinator to support our project management practice and help keep complex, multi-disciplinary engagements running smoothly across the business.

The Project Coordinator is an entry-level role on the Operations team and is the first step in Gigantic Playground’s project management career path. This person will work closely with Project Managers, Senior Project Managers, and the Director of Operations to support the day-to-day execution of client work, internal initiatives, and operational workflows. It is an ideal opportunity for someone with a project management or creative production background who is excited to grow into a Project Manager role at a creative technology agency.

The Gigantic Playground team specializes in envisioning and implementing innovative ways for end-users to interact with technology, often in ways that may not resemble traditional technology. The team oversees the entire process, from ideation and architecture to the development and installation of Gigantic Playground experiences, in partnership with our clients.

Responsibilities
  • Support Project Managers and Senior Project Managers in the day-to-day execution of client engagements, including scheduling, meeting coordination, note-taking, and follow-up tracking.
  • Maintain project hygiene in ClickUp and other internal tools — keeping tasks, statuses, owners, due dates, and documentation accurate and up to date.
  • Coordinate cross-functional team logistics across design, engineering, QA, and account teams to keep work moving on schedule.
  • Help draft and circulate meeting agendas, status updates, action item recaps, and weekly client communications.
  • Support resourcing and utilization workflows, including weekly schedule updates, time-tracking compliance, and flagging conflicts or gaps to the Project Manager or Director of Operations.
  • Manage contractor and vendor invoices end to end — collecting, reviewing for accuracy, routing for approval, and partnering with finance on submission.
  • Provide general project coordination support across non-billable internal initiatives and operational projects when bandwidth allows.
  • Proactively raise your hand when capacity opens up, prioritize across competing requests, and partner with the Director of Operations on back-burner initiatives that improve how the agency operates.
  • Build foundational relationships with internal team members, contractors, and — over time — client stakeholders, with the goal of growing into a Project Manager role.
Requirements
  • 1–3 years of professional experience in project coordination, project management, or creative/digital production. 
  • Background in either (a) project management or production within an agency, studio, or in-house creative team, or (b) a digital, software, or creative technology environment. Both is a plus, but not required.
  • High level of technical and digital literacy. Comfortable understanding, at a high level, how digital products, software, and interactive experiences come together, even without an engineering background.
  • Exceptional organization and attention to detail; able to track many small moving pieces across multiple concurrent projects without dropping the ball.
  • Strong written and verbal communication skills, with the ability to translate technical and operational details into clear updates for internal teams and, eventually, clients.
  • Self-aware and proactive. Able to prioritize independently, surface blockers early, and ask for more work when capacity opens up.
  • Comfortable working in a fast-moving, deadline-driven environment with shifting priorities and ambiguity.
  • Proficiency in (or ability to quickly learn) project management and collaboration tools such as ClickUp, Google Workspace, Slack, Box, and similar platforms.
  • Professional, dependable, and collaborative, someone teammates and clients can trust to follow through.
  • Bachelor’s degree in Business, Communications, Project Management, Production, a related field, or equivalent professional experience.
Nice to Haves
  • Experience supporting projects in creative technology, interactive experiences, AR/MR, AI, voice, themed entertainment, retail experiential, or digital product development.
  • Exposure to agency operations, i.e. SOWs, change orders, contractor onboarding, time tracking, utilization, or resource management.
  • Familiarity with PM frameworks (Agile, Scrum, Waterfall) and an interest in formal PM certification (e.g., CAPM, PMP) over time.
  • Experience working with distributed and international teams or contractors.
  • Interest in growing a long-term career in project management at a creative technology agency.
Work Environment
  • Gigantic Playground is a remote-first agency environment with team members located across the US.  
  • Candidates in San Diego, California will have the advantage of being close in proximity to several of our core team members.
  • Candidates located in Orlando, FL, Chicago, IL, New York, NY or Seattle, WA will also be considered.
