D.R. Horton, Inc. is currently looking for a Meeting Coordinator for their Corporate Meetings and Travel Department. Reporting to the Corporate Meeting & Travel Manager, the Meeting Coordinator provides administrative and logistical support for corporate meetings, events, and employee travel. This role assists with planning, coordination, and onsite execution of meetings while ensuring a high level of service for employees, guests, and stakeholders.
Essential Duties and Responsibilities
  • Assist with planning and coordinating corporate meetings, events, and travel programs
  • Coordinate meeting logistics including venue arrangements, rooming lists, banquet event orders, audiovisual needs, transportation, and meeting space setup.
  • Prepare and distribute meeting materials, including agendas, name badges, signage, attendee communications, and event supplies
  • Assist with registration management, attendee tracking, and travel documentation
  • Support onsite meeting execution, including setup, registration, and event operations
  • Travel domestically and internationally as needed to assist with meeting execution and site visits
  • Coordinate group travel arrangements for employees, including air, hotel, ground transportation, and related logistics
  • Process invoices, maintain meeting records, and assist with budget tracking
  • Maintain accurate attendee, hotel, and travel information
  • Communicate effectively with employees, vendors, and internal departments to ensure successful execution of meetings and travel programs
  • Negotiate contracts with vendors for services like catering, hotel accommodations for out-of-town guests, transportation, airfare, entertainment, audio-visual, etc.
  • Use networking skills to build relationships with vendor and suppliers
  • Ability to travel overnight, including occasional weekends and trips lasting more than one week (Estimated 10-15% travel required)
  • Conduct all business in a professional and ethical manner
  • Maintain regular and reliable attendance
  • Additional duties as assigned

Qualifications
Education and/or Experience
  • High school diploma or equivalent
  • 1-3 years of experience in corporate meeting planning, hospitality, travel, event coordination, or equivalent combination of education and experience
  • Strong organizational and time management skills
  • Excellent written and verbal communication skills
  • Strong attention to detail and ability to manage multiple priorities
  • Ability to work independently and as part of a team
  • Proficiency with Microsoft Office, Microsoft Teams, Outlook, and Canva
  • Ability to exercise discretion with confidential information
  • Valid passport
