Job description

The primary responsibility of the Project Coordinator 2 position is to provide a high level of coordination

support in a wide variety of areas, partnering with construction project management staff. This role will

act as a support to the Project Manager and Assistant Project Manager to ensure accurate and efficient

project documentation tracking. The Project Coordinator 2 role will also be responsible for maintaining

and controlling the billing process and schedules per contract requirements.

Duties and Responsibilities include the following:

1. Assist with project start-ups and close-outs.

2. Provides front desk relief and/or additional administrative support to others to help meet business

and staffing needs.

3. Prepares routine correspondence (letters, memos, meeting notes and proposals).

4. Assist with bid forms, proposals, and vendor quotes.

5. Bid Tracking Log - Creating Bid Numbers and Maintaining.

6. Subcontract Checklist.

7. Certificate of Insurance Requirements, Bonds, Billing Requirements.

8. Contractual Requirements (Certified Payroll, OCIP/CCIP, Affidavits).

9. Assist team with requests for project documentation.

10. Create submittal packages from information provided by the Project Manager or Assistant Project

Manager. Includes understanding specs. Reaching out to Vendors/Subcontractors for project data

sheets and tracking.

11. Monthly Lump Sum billings and T & M billings for subcontracts valued $100k-$5M (Including

Pay Apps, SOV, Lien Waivers, Certified Payroll).

12. Logging/Tracking but not limited to, insurance, bonding, permits, submittals, RFI's, change orders

correspondence, drawings.

13. Provide copies or scans of drawings.

14. Assist with RFI's.

15. Assist with material orders and/or tracking.

16. Assist with creating tiered subcontracts, managing compliance, and assisting with change

management.

17. Process electrical permits and process plan reviews with supporting documentation.

18. Review specification or client documentation (hard/soft copies) for O&M, O&M warranty vendor

requests, create O&M package from information provided by Project Manager or Assistant Project

Manager, and coordinate record drawings to submit.

19. Assists with pre-construction planning.

20. Conceptual understanding of creating bids/change orders.

21. Other duties as assigned.

Requirements

  • Proven experience supporting Project Managers and Assistant Project Managers with project start-ups, close-outs, bid tracking, submittals, RFIs, change orders, and comprehensive documentation control across multiple construction projects.
  • Strong working knowledge of construction contracts, subcontract administration, certified payroll, OCIP/CCIP requirements, COIs, bonding, lien waivers, permits, and specification review to ensure full contractual and regulatory compliance.
  • Hands-on experience managing monthly lump sum and T&M billings for subcontracts ranging from $100K-$5M, including pay applications, schedules of values (SOV), invoicing accuracy, and audit-ready documentation.
  • Highly skilled in preparing correspondence, proposals, O&M manuals, meeting notes, submittal packages, record drawings, and tracking logs; adept at coordinating with vendors, subcontractors, and internal teams to meet project deadlines.
  • Associate's or Bachelor's degree in Construction Management, Business Administration, Engineering, or a related field (or equivalent hands-on experience).

Benefits

Salary range for this position is $60,000-$75,000 annually.
