Assistant Project Manager (APM) Location: Houston, TX (On-site) Company: Gulf Coast Flooring & Services Employment Type: Full-Time

Position Overview

Gulf Coast Flooring & Services is looking for a motivated Assistant Project Manager (APM) with a background in flooring or finish trades to join our growing team. The APM supports Project Managers and Superintendents by coordinating project details, maintaining documentation, and ensuring clear communication across departments. This role is key to keeping flooring installation projects organized, on schedule, and well-documented -- allowing the Project Manager to focus on client relationships and overall project leadership.

Key Responsibilities

Project Coordination

  • Maintain and update project management system notes so all departments stay informed on flooring job status and progress.
  • Coordinate internally with estimators, superintendents, and project managers to confirm materials (flooring products, adhesives, underlayment, transitions), manpower, and job-site readiness.
  • Communicate with warehouse and installation crews to ensure flooring materials are staged, delivered, and ready ahead of scheduled installations.

Documentation & Tracking

  • Prepare, track, and organize submittals, work orders, and change orders specific to flooring scopes of work.
  • Ensure all required project information (start dates, assigned installers, product specifications, signed contracts, and approved flooring submittals) is entered before a job is released.
  • Keep digital project files accurate and organized, including product cut sheets, installation specs, and warranty documentation.

Internal Communication & Collaboration

  • Share regular updates with the Project Manager and Superintendent on flooring installation progress, potential scheduling conflicts, or material issues.
  • Attend and document internal project meetings, capturing action items and ensuring timely follow-up with field crews and vendors.

What Success Looks Like in This Role

A strong APM understands how flooring projects run -- from submittal approval through final inspection -- and keeps every detail from falling through the cracks. A successful APM:

  • Knows the Product: Understands common flooring types (LVP, carpet, tile, hardwood, epoxy) and can speak the language of installers, estimators, and GCs.
  • Keeps Everyone Informed: Provides timely, accurate updates so field crews, PMs, and clients are never left guessing.
  • Owns the Details: Tracks submittals, material lead times, and project requirements with accuracy and consistency.
  • Anticipates Issues: Flags substrate concerns, material shortages, or scheduling conflicts before they become problems on the job site.
  • Supports the Team: Frees up the Project Manager to focus on clients by managing internal coordination and documentation.
  • Shows Initiative: Asks questions, takes ownership, and grows into greater responsibility over time.
  • Drives Efficiency: Keeps processes, paperwork, and communication streamlined to help flooring projects stay on schedule and budget.

Qualifications

  • Experience in flooring, finish trades, or commercial construction is strongly preferred. Familiarity with flooring products, installation sequences, and subcontractor workflows is a significant plus.
  • Experience in project coordination, construction administration, or a related field.
