Administrative Assistant

The Administrative Assistant I provides general administrative and secretarial support to a department or group of professionals under direct supervision. This role is responsible for handling a high volume of detailed administrative tasks, preparing reports and business documents, coordinating schedules and travel, and maintaining confidential records. The ideal candidate will possess strong organizational skills, attention to detail, and the ability to work independently while supporting day-to-day business operations.

Key Responsibilities
  • Provide administrative and secretarial support to assigned departments or professionals
  • Compile, analyze, and reconcile data for reports and presentation materials
  • Prepare charts, graphs, tables, and other supporting documentation as needed
  • Draft and prepare letters, memos, invoices, manuscripts, and other business documents
  • Receive, sort, and respond to routine correspondence following established procedures
  • Maintain business records, files, and confidential documentation
  • Organize and manage appointment schedules and calendars
  • Arrange meetings, conferences, and travel accommodations
  • Process purchase orders, expense vouchers, bill payments, and related administrative documentation
  • Prepare and verify weekly, monthly, quarterly, and annual reports such as:
    • Budgets
    • Inventories
    • Indexes
    • Operational reports
  • Handle confidential information including personnel records, payroll, and salary data
  • Support office operations with minimal supervision
  • Perform additional administrative duties as assigned
Required Qualifications
  • High school diploma or equivalent required
  • 0โ€“3 years of administrative or clerical experience
  • Minimum typing speed of 60 WPM required
  • Speedwriting or shorthand skills may be required
  • Strong organizational and multitasking abilities
  • Ability to exercise independent judgment and basic reasoning skills
