Position Overview

Ares Enterprise is seeking a motivated, organized, and dependable Entry-Level Administrative Assistant to provide administrative and operational support to our corporate team. This position is ideal for an individual beginning their professional career who is interested in gaining experience in business operations, government contracting, human resources, recruiting, and general corporate administration.

The Administrative Assistant will support day-to-day office activities, maintain business records, coordinate meetings and schedules, assist with employee and recruiting activities, and provide general support to company leadership and staff. The successful candidate will demonstrate strong communication skills, attention to detail, professionalism, and the ability to manage multiple priorities in a fast-paced environment.

Job Responsibilities
  • Provide general administrative and operational support to company leadership and staff.
  • Manage calendars, schedule meetings, coordinate appointments, and assist with meeting logistics.
  • Prepare, format, proofread, organize, and maintain business documents, correspondence, spreadsheets, and presentations.
  • Assist with email correspondence, data entry, document management, filing, and records maintenance.
  • Support recruiting activities, including posting positions, reviewing candidate information, scheduling interviews, and communicating with candidates.
  • Assist with employee onboarding and offboarding activities and maintenance of personnel documentation.
  • Support HR administrative activities, including employee records, training documentation, and internal communications.
  • Maintain electronic files and ensure documents are organized, accurate, and readily accessible.
  • Assist with corporate meetings, events, conferences, travel arrangements, and other business activities.
  • Track administrative action items, deadlines, and follow-up activities.
  • Assist with purchasing, expense documentation, invoices, office supplies, and other routine business transactions.
  • Support preparation and organization of information for proposals, reports, presentations, and customer deliverables.
  • Enter and maintain information within company business systems and administrative platforms.
  • Communicate professionally with employees, candidates, customers, partners, and vendors.
  • Handle company, employee, and customer information with appropriate discretion and confidentiality.
  • Perform additional administrative and business-support duties as assigned.

Requirements

Minimum Qualifications
  • High school diploma or equivalent required; associate's or bachelor's degree preferred.
  • 0-2 years of professional, administrative, customer service, internship, or related experience.
  • Strong written and verbal communication skills.
  • Strong organizational skills and attention to detail.
  • Ability to prioritize assignments and manage multiple tasks and deadlines.
  • Professional demeanor and strong interpersonal skills.
  • Basic proficiency with Microsoft Office applications, including Microsoft Word, Excel, PowerPoint, Outlook, and Teams.
  • Comfortable learning new software, business systems, and administrative processes.
  • Ability to prepare professional emails and business correspondence.
  • Ability to maintain accurate records and follow established procedures.
  • Ability to work independently while also collaborating effectively with a team.

This position is designed as an entry point into Ares Enterprise's corporate operations. The employee will have opportunities to gain exposure to multiple areas of the business, including human resources, talent acquisition, government contracting, business development, proposal support, project coordination, compliance, and corporate operations.
