SUMMARY:

Neighborhood Veterinary Care is looking for a Client Service Coordinator to become a part of our family! Our ideal candidate acts as a concierge and first point of contact between clients and the organization. Tasked with answering client inquiries, directing phone calls, coordinating medical care, appointment availability and more! Upholding company culture always while making clients feel welcomed and valued is a must. Our mission is to strengthen the human-animal bond through compassionate care, an educational experience and a commitment to serving the local community. Neighborhood Veterinary Care is committed to building a team of professionals passionate about growing their veterinary expertise and making a difference in the lives of pets and their owners.

RESPONSIBILTIES:

· Greet clients and patients with a warm and friendly presence

· Follow policies and procedures set by the Practice Manager and Managing DVM

· Perform the onboarding and check-in/check-out processes including managing client information, weighing patients and processing client payments

· Manage incoming calls with multiple phone lines, respond to clinic emails and schedule appointments/procedures and drop-offs

· Provide support to clients/employees/public including obtaining forms, medical information, post-surgery information, tags and certificates or assisting with questions regarding patient status

· Set-up and maintain all client/patient records including data entry, lab results, specialist results.

· Collect relevant health history and information from clients and assist with maintaining medical charts

· Compile daily clinic statistics

· Distribute filled prescriptions to clients

· General cleaning of the lobby

· Assist in developing Standard Operating Procedures (SOPs) and train and develop co-workers

· Other duties assigned

QUALIFICATIONS:

· 2 years of working experience in a client service, receptionist or customer service role

· Strong interpersonal skills. We are looking for a warm, personable, professional, enthusiastic, empathetic individual

· Demonstrated customer service and communication skills

· Proficiency with Microsoft Office and client service software

· Strong attention to details, and organization skills with an ability to multi-task and thrive in a fast-paced setting

· Proven ability to deliver exceptional client service and professionalism with a friendly demeanor via phone, written communication and in-person

· Eager to create and encourage a positive work environment

· Flexible availability including weekends
