The Shipping and Receiving Specialist receives and opens incoming shipments, verifies and accurately enters information into the computer. This position maintains files of pack lists and other documentation; contacts customers, vendors or team members as necessary; prepares material and samples for flammability testing; and accurately fills customers parts orders, prepares parts for shipping and receives incoming shipments, and loads and unloads delivery trucks using company equipment in a safe, timely and courteous manner.
Essential Job Functions
1. Receives and opens incoming shipments, verifies and accurately enters details of incoming shipments on purchase orders, into computer or RF unit to ensure accurate tracking of inventory. Visually inspects materials for damage, quantity, descriptions, part number, serial number, condition codes, etc. per FAA regulations and Duncan Aviation approved procedures.
2. Assigns priority of incoming units or tool to the appropriate shop and opens and/or creates work orders. Resolves discrepancies or omissions of information. Enters appropriate information into the computer to ensure accurate tracking of units. Prepares work orders as well as other documentation, and tags units for delivery.
3. Verifies purchase order numbers and lot numbers for single items requiring burn tests. Cuts samples from the material. Prepares burn samples and requisitions for submission to flammability vendor.
4. Prepares single item burn certification folders and other necessary documentation for filing. Tags units with status of the burn test results. Submits burn test results to Content Manager, the electronic imaging storage system.
5. Researches and accurately codes freight audit reports. Assists department in tracking of waybills and provides reports to appropriate team member(s) concerning billed freight expenses as requested.
6. Prepares parts shipments by inspecting and safely packaging parts, performing shipment entry (using FedEx, UPS and DHL electronic systems on-site), producing correct documentation and accurately coding shipping costs for billing. Builds crates for outgoing shipments.
7. Unloads and loads delivery trucks using Company forklifts in a safe and timely manner. Visually inspects materials for obvious damage, properly documents any damage(s), and notifies appropriate team member(s) of any damage.
8. Updates goods-in-transit logs to determine status of shipments and re-opens or voids previous records when appropriate.
9. Maintains accurate and timely records regarding packing slips, certifications and waybills for both incoming and outgoing packages. Copies and attaches proper documentation to incoming items. Uses the Content Manager to upload appropriate documentation.
10. Coordinates emergency shipments with appropriate carrier according to Duncan Aviation approved procedures as necessary.
11. Performs other duties as assigned by management.
