Reporting to:  Operations Manager
Location:  Maumee, Ohio  (onsite, not remote)
The Production and Procurement Specialist is the operational point person for the Laser and Chemical Engraving groups, coordinating both laser and chemical engraving production from job intake through on-time delivery while driving excellence in service, quality, and customer satisfaction. In addition to production planning and scheduling, this role owns procurement, shipping and logistics, P-card and invoice reconciliation, and inventory cycle counts for the entire facility. The Specialist works cross-functionally with Sales, Laser Programming, Engineering, and Finance, and serves as a key liaison to suppliers and customers. Exercises discretion and independent judgment in supplier selection, pricing negotiation, and decisions that impact the Laser Technology group's performance KPIs.
Essential Duties
Production Planning, Scheduling, Forecasting & Reporting
  • Plan and schedule laser and chemical engraving work, including Floor Walks, Hotlist meetings, tooling on-hold reviews, and Jira board management.
  • Monitor laser machine availability and utilization.
  • Provide monthly production forecasting and revenue tracking for all engraving work.
  • Report laser and chemical engraving status and forecasting to Management.
  • Perform SAP hour tracking and verification; monitor budgeted versus actual hours and drive continuous improvement.
  • Compile facility-wide safety data for monthly reporting.
  • Manage incoming and outgoing plant workflow.
Design Data Intake and Customer Interaction
  • Manage all incoming customer-supplied mold design files and route them to the appropriate engraving team.
  • Coordinate and support customer design review meetings.
  • May conduct or support laser feasibility reviews.
  • Support and, where appropriate, lead customer interactions.
  • Lead weekly incoming workflow reviews with the Sales Team.
  • Support and help direct communication between the engraving teams and the Sales Team as needed.
  • Actively work with other Mold-Tech counterparts on various projects.
Procurement 
  • Researches best price on components and negotiates as needed in the interest of the business.
  • Work with the engineering team to align on component specifications prior to sourcing.
  • Request quotes from suppliers and negotiate pricing to achieve favorable terms.
  • Create Purchase Orders in the Counterpart ERP system and in SAP.
  • Tie packing slip with invoice and PO (three-way match) to verify accuracy prior to payment.
  • Support the invoicing process as needed to resolve discrepancies and keep supplier payments on schedule.
Shipping and Logistics – Site Wide
  • Coordinate domestic and international shipping and logistics for incoming, in-house, and outgoing project materials.
  • Ensure proper documentation, carrier selection, and on-time delivery for all laser and chemical engraving shipments.
P-Card and Invoice Reconciliation 
  • Reconciles invoices for items purchased for jobs to ensure accurate charging and job costing.
  • Maintain organized records to support monthly P-card reconciliation and month-end close.
Inventory Management – Site Wide
  • Oversee and conduct quarterly inventory cycle counts and reconcile variances.
  • Investigates of inventory discrepancies and drive corrective actions with the team.
Knowledge, Skills & Abilities
  • General CAD experience for viewing and interpreting mold design data is preferred, but we are willing to train the right candidate. Experience with Rhino preferred but not required.
  • Ability to analyze mold designs and compare to latest part data. Knowledge of multiple-axis cutting machines (Laser or CNC), 3D printing, or scanning preferred but not required
  • Working knowledge of SAP (including PO creation) or another ERP system.
  • Some understanding of purchasing concepts, three-way match (PO / packing slip / invoice), and basic negotiation principles.
  • Familiarity with domestic and international shipping documentation and logistics processes.
  • High skill level with Microsoft Excel, PowerPoint, and Word.
  • Self-motivated with an interest in science and technology.
  • Excellent problem-solving, customer service, and organizational skills.
  • Ability to work individually through the majority of tasks, utilizing sound judgment.
  • Collaborative, positive, flexible, and team-centered approach.
  • Ability to quickly adjust to the rapidly fluctuating pace of the job.
  • Adobe Photoshop a plus
Experience and Education
  • Minimum 3+ years in a comparable role.
  • Associate degree in related area such as Procurement, Engineering, Product Development, etc. relevant experience may be considered equally in lieu of a degree.
Physical Requirements and Other: 
  • Ability to perform physical requirements of a typical office environment, including sitting, standing, walking, operating a keyboard, and occasional lifting up to 25 pounds.
  • Work is performed primarily in a manufacturing/production environment; standard PPE is required in designated areas.
  • This position has no direct reports.
  • Remote or on-site support may be required on Saturdays.
