Position Summary

We are seeking a highly organized Engineering Project Coordinator to support our team at Calc Engineering by managing project assignments, coordinating client communications, tracking project status, and ensuring timely project delivery.

The ideal candidate understands engineering workflows, can effectively communicate with engineers and clients, and excels at managing multiple projects simultaneously. This role serves as the central point of coordination between clients, engineers, field staff, and management.

Key Responsibilities

Project Coordination & Scheduling

  • Assign incoming projects to appropriate engineers based on workload, expertise, and project requirements.

  • Monitor project timelines and deadlines.

  • Maintain project schedules and workload tracking.

  • Ensure projects move efficiently through each stage of completion.

  • Identify scheduling conflicts and resource constraints.

Client Communication

  • Serve as the primary point of contact for project status inquiries.

  • Provide regular project updates to clients.

  • Coordinate meetings, site visits, and project discussions.

  • Manage incoming calls and emails from clients, contractors, and municipalities.

  • Escalate technical questions to the appropriate engineering staff.

Operations Management

  • Track project progress from initiation through final delivery.

  • Maintain project records and documentation.

  • Coordinate permit applications, submittals, and deliverables as needed.

  • Generate project status reports for management.

  • Monitor outstanding tasks and follow up with team members.

Team Support

  • Assist engineers with project administration and workflow management.

  • Coordinate internal project meetings.

  • Support proposal preparation and project setup.

  • Help maintain quality control procedures and project tracking systems.

Qualifications

Required

  • 3+ years of experience in project coordination, operations management, construction administration, engineering consulting, or related fields.

  • Strong organizational and multitasking skills.

  • Excellent verbal and written communication skills.

  • Ability to manage multiple deadlines in a fast-paced environment.

  • Proficiency with Microsoft Office Suite and project tracking software.

  • Onsite 5 days per week

Preferred

  • Experience working with engineering, construction, surveying, architecture, or permitting projects.

  • Understanding of engineering plans, reports, and project lifecycles.

  • Experience with project management software such as Monday.com, Asana, Smartsheet, Deltek, or similar platforms.

  • Associate's or Bachelor's degree in Business, Construction Management, Engineering Technology, or related field.
