Position Summary

We are seeking an On-Call Administrative Assistant to provide administrative support to outpatient therapy services, helping ensure efficient scheduling, accurate patient information, insurance verification, and excellent customer service. This position supports therapists, patients, families, physician offices, and clinic leadership as needed across multiple therapy locations. 

Responsibilities 

  • Schedule and coordinate patient appointments
  • Answer phone calls and respond to patient, family, and physician inquiries
  • Verify insurance benefits and document information accurately
  • Enter and maintain patient demographics, insurance, referral, and physician information in the EMR
  • Assist with obtaining physician orders, referrals, authorizations and other required documentation
  • Support patient billing processes, statements, and collection of patient payments as directed
  • Communicate scheduling, insurance, and authorization updates to appropriate staff
  • Perform general office duties including scanning, faxing, , and data entry
  • Maintain confidentiality and comply with HIPAA requirements
  • Assist with other administrative duties as assigned

Qualifications 

  • High school diploma or equivalent
  • Previous administrative, customer service, billing or healthcare office experience preferred
  • Strong organizational, communication, and computer skills
  • Ability to multitask and work independently
  • Experience with scheduling, EMR systems, or insurance verification preferred

Work Schedule

  • This is an on-call position with hours based on staffing and operational needs. Availability to provide coverage for vacations, illnesses, and other staffing gaps is preferred.
