Job description

POSITION SUMMARY/ESSENTIAL FUNCTIONS:

As a Sales Coordinator, you will be responsible for supporting the hotel’s sales and events efforts by assisting the sales team in various administrative and operational tasks. Your role will involve coordinating sales and events activities, managing client communications, and ensuring the smooth execution of sales and events related processes.

Qualifications

  • A true desire to satisfy the needs of others in a fast-paced environment
  • Refined verbal and written communication skills
  • Previous administrative experience, preferably within a sales or hospitality environment.
  • Proficiency in Microsoft Office Suite (Excel, Word, PowerPoint).
  • Maintain Sales and Events calendar
  • Marriott CI trained to block space and rooms.

Duties and Responsibilities

  • Answer phones and leads quickly. Often, sales team are not always in the office. Will require fast, accurate, and luxury level customer responses.
  • Contact customers, set appointments, coordinate sites, customer follow-up, support the sales team, and general office duties.
  • Assist/create customer collateral, presentations, marketing materials.
  • Respond to all guest inquiries (leads).
  • Sell and coordinate pop-up meetings, events, and small groups.
  • Build proposals, site inspections, discuss pricing minimums, block space, and create contract.
  • Assist with general site tours of hotel and show rooms.
  • Manage room block pickup reports and actualization process.
  • Route groups, create breakfast coupons & welcome letters, and prepare group related invoices in a timely manner
  • Input rooming lists and manage cut-off dates for group & inventory
  • Prepare Resumes and Event Orders for weekly meetings and ensure all group resumes and BEO's are communicated properly to all relevant departments.
  • Process the 3rd party group commission.
  • Awards the events planner points.
  • Produce group related invoices in a timely manner.
  • Manage the supply inventory for the sales office.
  • Maintain list of lead turn downs (Cvent, call-ins, referrals, etc).
  • Solicit business as directed by DOSM or ADOS.
