Job Highlights

The Veterinary Information Network (VIN), an online community and educational resource for veterinarians, is looking for an experienced Communications Specialist to join our communications team and VIN family worldwide in Davis, CA. This is a hybrid position with weekly onsite presence required; 4 days onsite, 1 day remote) (we will not be offering relocation assistance for this position).

Position Overview

Under the general direction of the Communications Manager, this role manages end-to-end email marketing operations, including data preparation, template creation, feedback integration, campaign coordination, and scheduling within HubSpot. The specialist analyzes performance metrics, conducts A/B testing, and translates insights into actionable recommendations while maintaining list health and sender reputation. Additionally, they support CRM management and workflow improvements, ensuring effective audience segmentation, personalization, and regulatory compliance.

Key Responsibilities

As an Email Communication Specialist, you will:

  • Edit and format Excel data for import into HubSpot
  • Create and maintain branded email templates; integrate stakeholder feedback as appropriate
  • Coordinate email and list creation, testing, and scheduling with stakeholders across VIN
  • Support email development from start to finish: gather or create content, assets, audience criteria, and lists; send tests, make changes, and schedule emails
  • Determine proper graphic dimensions for email sections; Help troubleshoot email design challenges across the organization, including adjusting HTML
  • Understand and stay up to date on email client challenges, bugs, and changes (Outlook, Gmail, Yahoo, etc.); modify designs accordingly
  • Organize emails in campaigns for more efficient analysis
  • Understand what email metrics are valuable, which are unreliable, and why
  • Analyze email metrics, extract insights, and explain them in a way that meets stakeholders where they are
  • QA emails before send: proof copy, test links, verify personalization tokens, and confirm rendering across major clients and devices
  • Design and set up A/B tests, determine conclusions, and report findings in plain language
  • Manage suppression lists, monitor email bounces, and optimize segments to protect sender reputation
  • Under the guidance of the Communications Manager, help maintain the HubSpot CRM; assist with EMR data needs; implement new workflows, properties, and processes to facilitate relationship building, tracking, and outreach.
  • Ensure emails comply with CAN-SPAM/GDPR/CASL requirements and understand which situations are exceptions
  • Implement and audit personalization and dynamic content blocks within emails

Additional duties include assisting with other related tasks as needed.

Preferred Experience & Skills

  • 3-5 years in email marketing, lifecycle marketing, or CRM marketing with demonstrated ownership of multi-touch campaigns
  • At least 2 years of experience using an email marketing platform; HubSpot experience is a plus
  • Bachelor's degree in English, Communications, or other relevant field.
  • Proven ability to drive engagement, retention, and continual improvement through email channels
  • Ability to individually create emails, automations, and journeys without AI assistance
  • Firm understanding of best practices for email graphics; ability to determine required dimensions
  • Strong familiarity with segmentation, journey design, automation strategy, deliverability, and A/B testing
  • Established understanding of common design challenges associated with various email clients; ability to troubleshoot & correct issues, including through HTML manipulation
  • Enjoys collaborating with others and integrating feedback into emails
  • Confident explaining email metrics and tailoring those explanations for people with varying levels of email/marketing knowledge
  • Ability to process and format Excel files for import, systematically identify differences between files, and perform updates error-free
  • Strong systems-thinking mindset: firm understanding of the downstream impacts of data choices and accuracy; ability to identify the benefits and drawbacks of two choices
  • Highly organized with the ability to manage shifting priorities in a high-volume, fast-paced environment
  • Working knowledge of email compliance requirements (CAN-SPAM, GDPR, CASL) and how they affect list management, consent, and footer requirements
  • Understanding of contact data lifecycle: suppression lists, unsubscribe handling, bounce management, and their impact on sender reputation and deliverability
  • Experience with personalization and dynamic content strategies (merge tags, conditional content blocks, etc.)
  • Thorough QA skills: ability to proof emails across devices and clients before send, catch rendering issues, broken links, and incorrect personalization tokens
  • Experience designing and interpreting A/B tests: ability to define hypotheses, design tests, and draw statistically grounded conclusions

Salary and Benefits

The salary range for this position is $31 to $35 per hour. Wage depends on experience and qualifications. VIN currently offers benefits including Medical (with HRA), Dental, Vision, Life Insurance, FSA (medical and dependent care) as well as a 401k with a company dollar-for-dollar match up to 6% and starting accruing vacation and sick time as of your first day.
