Job description

Since 1989, IDEC, a division of Delaware Elevator, has been manufacturing and fabricating elevators for residential and commercial clients across the United States. Our specialization in both standard and custom elevator cabs, doors, entrances and interiors makes us the smart choice for any building,including condos, hotels, retail stores, clubhouses and more.

Continued growth and expansion have created an exciting opportunity for an experienced Project Coordinator to join our fast-paced team. At IDEC Elevator Products, we pride ourselves on fostering a collaborative work environment where your contributions truly make a difference.

Essential Functions:

  • Drawing Review and Submittal Coordination
    • Receive preliminary drawings and project requirements from the Drafting Engineer.
    • Review and submit "Preliminary Drawings" to customers, along with a formal request for required project information, based on project type (Cabs, Entrances, or Doors).
    • Track and organize customer responses, ensuring all required approvals and selections are collected accurately and promptly.
  • Approval Management
    • Process customer responses, whether marked "Revise and Resubmit" (R&R) or "Approved as Noted" (AAN).
    • Compare customer mark-ups to the original scope of work.
    • Identify any scope changes and initiate change order requests with the Sales team.
    • Hold drawing revisions until sales approval is received (if required), and coordinate changes with the Drafting Engineer.
    • Resubmit revised drawings to the customer for re-approval, repeating this process as necessary until final approval is secured.
  • Production Scheduling
    • Complete a "Project Timeline Form" once customer approval is received without scope changes.
    • Participate in weekly production scheduling meetings with the General Manager (Tuesdays and Thursdays) to assign production dates.
    • Ensure manufacturing dates are assigned and confirmed within the same week for all approvals received during that period.
    • Communicate tentative production completion dates to the customer.
  • Documentation and Organization
    • Save all customer communications, drawing revisions, and approvals in the designated job folders on the LAN.
    • Ensure that all electronic files are clearly named and well-organized, allowing for easy navigation and reference by all team members.
    • Maintain thorough documentation throughout the approval and production process.
  • Customer Communication and Reporting
    • Serve as the primary point of contact for customers regarding their project status.
    • Provide timely updates throughout the approval and production phases.
    • Send monthly "Customer Project Status Reports" outlining project progress and highlighting any delays or issues.
  • General Accountability
    • Maintain strong attention to detail and manage multiple projects simultaneously in a fast-paced environment.
    • Ensure all tasks are completed on time and with a high level of accuracy.
    • Collaborate effectively with Sales, Drafting, and Production teams to ensure project success.


Position Qualifications:

  • A minimum of three years of related experience.
  • Prior experience in manufacturing is a plus!
  • Proficiency in Microsoft Office (Outlook, Word, Excel).
  • Proficiency in AutoCAD preferred.


Skills & Abilities:

  • Computer Skills: Microsoft (Excel, Word)
  • Able to read blueprints, drawings, etc. is a plus
  • Job duties may require coordination and/or some level of 2D drafting when workloads are higher at times
  • Exceptional attention to detail and strong organizational skills.
  • Excellent written and verbal communication abilities.
  • Ability to work both independently and collaboratively across teams.
