The Contractor Coordinator is responsible for overseeing contractor management activities, including serving as the Contractor Management Officer (CMO), client project financial accounting, cost management, SAP master data, and repair workflow within the Technical Area (Engineering, Maintenance, and Projects group). This position operates with a high level of autonomy to ensure the site achieves and sustains compliance with all Group Principles & Standards, procedures, and best practices. The Contractor Coordinator is expected to identify needs, initiate solutions, and drive actions independently.
RESPONSIBILITIES
  • Independently oversee all site contractor management activities to ensure compliance with Group Principles & Standards, GPS-PT 6, and serve as the site's primary subject matter expert for contractor management.
  • Direct the seven steps of contractor management, proactively resolve compliance gaps, and provide guidance to maintenance and engineering teams.
  • Act as the primary point of contact for vendor coordination, timesheet validation, and invoice approval, ensuring complete and accurate SAP entries for contractor hours and work orders.
  • Lead resolution of contract non-conformance issues, including root cause analysis and corrective actions; manage and audit contractor qualification records and validate Avetta compliance.
  • Monitor and update Outline Agreements and Work Centers, ensuring uninterrupted operational readiness and accurate SAP data for contractor labor, materials, and Work Orders.
  • Provide monthly financial consolidation of customer project billing with actual project costs, reconcile variances, and prepare summary statements for management review.
  • Own monthly engineering cost assignments and conduct financial variance evaluations, including plan vs. actual and contractor accruals vs. invoices, initiating corrective actions as needed.
  • Direct sourcing for parts and rental equipment, leveraging supplier
  • relationships to meet maintenance requirements efficiently. โ€ข Maintain auditable documentation for fire systems, elevators, sprinklers, PSVs, and other applicable areas, and support IVT invoice approval workflows. Ensure compliance of the Technical Area with Group Principles and Standards for repairs involving contracted services, including schedule adherence, safety, and quality standards.
  • Uphold HACCP, ISO 9001/14001, and RC14001 policies and prepare monthly compliance and cost reports, including contractor KPIs, Avetta status, and cost reconciliation summaries.
  • Drive continuous improvement across contractor management, SAP utilization, and cost control processes while serving as a subject matter expert for contractor compliance and financial alignment.

REQUIREMENTS
  • Associate's degree or Bachelor's degree in Science or Finance and/or a minimum of 5 years of relevant experience; or a minimum of 6 years of experience/training in a related area.
  • Experience operating with minimal supervision, prioritizing multiple concurrent tasks, and making decisions within established policies and budgetary limits.
  • Experience with SAP, including general working knowledge of maintenance, engineering, and warehouse modules, as well as Microsoft Office (Excel and Word).
  • General knowledge of contracts, commercial rules, and document management.
  • Knowledge of Evonik's policies and procedures in purchasing, maintenance, and warehousing.
  • Strong organizational and communication skills with the ability to organize and implement multiple tasks.
  • Ability to effectively interface with internal engineering/maintenance teams and external vendors and serve as a primary point of escalation for contractor and cost issues.
