Job description

Northern Ag, a division of Border Bank is seeking an Administrative Assistant to join our team in Roseau, Minnesota.

We are looking for a highly organized and detail-oriented Administrative Assistant to support our crop insurance agents and brokers with daily operations and seasonal projects throughout the year. This role requires excellent communication skills, strong attention to detail, and the ability to effectively manage multiple priorities while collaborating within a team-oriented environment. The successful candidate will play a key role in delivering exceptional customer service, maintaining accurate data and records, coordinating events, and performing a variety of administrative functions that contribute to the overall success of our crop insurance program.

Administrative Assistant Key Responsibilities

Agent & Customer Support
  • Contact insured clients to schedule appointments with agents regarding crop insurance deadlines and program updates.
  • Send meeting reminders and communications to clients using Call Multiplier and other communication tools.
  • Contact insureds to determine potential crop insurance claims and assist with the claims process.
  • Assist clients with Assignment of Indemnities, Schedules of Insurance, and basic billing statement inquiries.
  • Answer general crop insurance questions and direct more complex inquiries to the appropriate agent.
  • Enter, process, and verify various MPCI (Multi-Peril Crop Insurance) and hail insurance reports throughout the crop year.
Data Collection & Reporting
  • Maintain spreadsheets and tracking tools used to monitor MPCI deadlines and project progress.
  • Retrieve Commodity Trading reports from designated portals and maintain accurate records within the shared information system.
  • Ensure client and policy information is current, accurate, and properly documented.
  • Maintain electronic and paper filing systems in an organized and timely manner.
Mailings & Client Communications
  • Coordinate and distribute batch mailings of insurance reports and client correspondence.
  • Prepare and distribute materials related to crop insurance deadlines, meetings, and special events.
  • Support customer outreach efforts through phone, email, and mail communications.
Event Planning & Coordination

Assist with the planning, scheduling, and coordination of:

  • Annual Update Meetings (January)
  • Customer Appreciation Events (June and July)
Marketing & Advertising Support
  • Assist with local advertising and marketing campaigns.
  • Support customer engagement and promotional activities.
  • Help coordinate event marketing materials and communication pieces.

Administrative Assistant Education & Requirements

  • Required to obtain and maintain a Minnesota Crop Insurance Agent License by passing the Minnesota Agent Licensing Exam within 12 months of hire. All licensing fees and related expenses will be paid by Northern Ag.
  • One to three years of experience or background in agriculture, insurance, marketing, customer service, or administrative support preferred.
  • Bachelor's degree in Business Administration, Marketing, Agriculture, or a related field preferred.
  • Proficiency with Microsoft Office applications, including Excel, Word, Outlook, and other office software.
