Job Description:

ELECTIONS DIVISION ADMINISTRATIVE ASSISTANT

JOB SUMMARY: Under general supervision, the Elections Division Administrative Assistant provides critical support to the Elections Division by assisting division staff, Georgia voters, and in- person visitors. This role is responsible for assisting with mail operations and managing all incoming and outgoing documents for the division. Additionally, this position assists with a variety of administrative tasks as directed by the manager, contributing to the overall efficiency and effectiveness of the division.

ESSENTIAL DUTIES and RESPONSIBILITIES:
  • Oversee all incoming and outgoing mail for the Elections Division, ensuring timely processing and secure handling of confidential information and official documents.
  • Demonstrate continuous effort to improve operations, streamline work processes, and work cooperatively on assigned projects to provide quality seamless customer service.
  • Assist customers with authenticating documents and providing the Great Seal Certification.
  • Maintains professional technical knowledge of election laws, Title 21 of the Official Code of Georgia Annotated, State Election Board rules, U.S. Constitution, Georgia Constitution, opinions of the Attorney General, and additional sections of the O.C.G.A. pertaining to elected and appointed officials, constitutional amendments, tax initiatives, and policy decisiona which require referendum to change.
  • Maintains a sufficient understanding of the structure of the Elections Division, so as to be able to refer escalations to the appropriate staff member.
  • Performs other related duties as assigned.

  • Ability to prioritize and mange in a multi-tasking environment
  • Ability to interpret guidelines according standard operating procedures
  • Knowledge of community resources and affiliated agencies
  • Knowledge of research processes
  • Ability to research issues and determine resolutions
