Position Summary
The Front Desk Trainer is responsible for onboarding, training, and supporting front desk staff across multiple dermatology offices. This role ensures consistent, high-quality patient service by delivering hands-on training in check-in, check-out, chart preparation, and proper use of the NextGen practice management, EHR system, and patient engagement systems. The trainer will also play an integral role in supporting De Novo (new practice openings) and integration projects, ensuring front office operations launch successfully and meet organizational standards.
Key Responsibilities
Training & Onboarding:
  • Conduct structured training sessions on front desk workflows including:
    • Patient check-in and verification
    • Patient check-out and billing processes
    • Daily chart prep and documentation accuracy
    • Appointment scheduling and template navigation
  • Train staff on all relevant Practice Management, EHR, and Patient Engagement system functions and best practices.
  • Maintain training materials, SOPs, manuals, and competency checklists.
  • Provide ongoing coaching and support to ensure adherence to workflow standards and regulatory requirements.
Operational Support:
  • Travel regularly to multiple offices across Florida, Texas, Nevada, California, and Arizona for in-person training and support.
  • Assess front desk performance and identify areas for improvement.
  • Partner with clinic leadership to ensure consistent implementation of front-office workflows.
  • Troubleshoot operational issues related to scheduling, documentation, and patient flow.
De Novo & Integration Support:
  • Participate in planning and execution for new practice openings and acquisitions.
  • Provide on-site support during go-live periods, ensuring teams understand workflows and systems.
  • Assist with system setup, workflow mapping, and staff readiness assessments.
Collaboration:
  • Work closely with clinical training, compliance, operations, and IT teams to ensure alignment across departments.
  • Serve as a subject-matter expert for patient engagement systems and front desk operations.
Education:
  • High School Diploma required or GED is required.
Required Qualifications:
  • Minimum of 2 years' experience using NextGen PM and EHR systems in a medical office setting is required.
  • Minimum of 2 years' experience working in a dermatology clinic is required.
  • Previous front desk leadership experience is required.
  • Proven proficiency in:
    • Patient check-in and check-out workflows
    • Insurance verification and eligibility & Benefits to prevent insurance denials.
    • Chart prep and documentation management
    • SME with Upfront Collections
    • Advanced knowledge in Medial Insurances to include but not limited to Medicaid, Medicare, capitated plans, IPA etc.
  • Ability to travel frequently across multiple clinic sites and Regions.
  • Strong communication, presentation, and coaching skills.
  • Ability to work independently, prioritize tasks, and manage multiple training schedules.
  • High attention to detail and a commitment to patient experience excellence.
Preferred Qualifications:
  • Prior training, lead front desk, clinic manager or supervisor experience.
  • Experience supporting practice integrations or new clinic launches.
  • Knowledge of building training guides and training tools.
  • Familiarity with dermatology-specific procedures, terminology, and billing workflows.
  • Advanced Medical Insurance knowledge
Physical Requirements:
  • Ability to travel between offices regularly.
  • Ability to stand and walk for extended periods during onsite training sessions.

Equipment Operated: Standard office equipment including computers, fax machines, copiers, printers, telephones, etc.
Physical Requirements: Must possess manual dexterity to operate office machines including computer and calculator; stooping and bending to handle files and supplies; and mobility to complete errands or deliveries. Includes handling of sharps and chemicals. Multiple staff demands and deadlines can trigger stress.
