Job description

About this Job Delgado Community College is a dynamic, open-admissions community college providing high-quality education through innovation and excellence in teaching and learning. The College offers a variety of academic and workforce programs through the Associate degree and is committed to nurturing and sustaining an inclusive culture to support student success. Delgado Community College is seeking a motivated and detail oriented individual to fill a full-time Administrative Assistant 3 position to provide administrative and operational support for the Office of Advancement, Communications and Strategic Initiatives.

This position provides essential administrative and coordination support to the Chief Advancement, Communications and Strategic Initiatives Officer to support the functions of the Office of Advancement, Communications and Strategic Initiatives, assisting with daily operation, scheduling communications and coordination of key projects and initiatives. An ideal candidate will possess the following Core Competencies: Communicating Effectively: The ability to relay information correctly and appropriately to connect people and ideas. Focusing on Customers: The ability to serve the needs of those who support and/or rely on the services provided.

EXPERIENCE SUBSTITUTION: Every 15 semester hours earned from an accredited college or university will be credited as six months of experience. Job Duties and Other Information Job Duties: Provides advanced administrative support to the Chief Advancement, Communications and Strategic Initiatives Officer.

Manages executive calendars, meetings, travel, correspondence, reports, presentations, and confidential records. Coordinates executive meetings, prepares agendas, records minutes, and monitors follow-up actions. Coordinates administrative support for strategic initiatives, institutional projects, and cross-functional initiatives.

Develops and maintains the College's master calendar of institutional events, strategic initiatives, and major activities. Coordinates requests for communication and publication materials, including flyers, brochures, e-blasts, digital signage, business cards, and related marketing materials. Serves as the liaison with the Marketing and Communications Office to ensure projects are completed accurately, on time, and in accordance with College branding standards.

Serves as the primary point of contact for collecting information, announcements, accomplishments, and success stories from academic and administrative departments. Coordinates requests for information from the Chancellor's Office, executive leadership, deans, department heads, student organizations, and other stakeholders. Complies and organize content for executive reports, presentations, newsletters, website updates, and other institutional communications.

Provides administrative support for advancement initiatives, donor relations, alumni engagement, grants, community partnerships, and special events. Serves as the departmental Budget Operations Liaison (BOL). Processes purchase requisitions, purchase orders, invoices, travel reimbursements, Professional Services contracts, cooperative Endeavor Agreements, and other fiscal documents.

Coordinates with Finance, Purchasing, and Accounts Payable to ensure timely processing and compliance with College and LCTCS policies. Recommends process improvements, assists with office operations, provides guidance to student workers or support staff as assigned, and performs other related duties in support of the Office of Advancement, Communications and Strategic Initiatives.
