Job description

Document Control Specialist

Location: Jersey City, NJ (Hybrid On-Site / Remote as authorized by client)

Duration: 4-Year Contract | Annual Renewals

About the Role
Selected candidate will be responsible for managing, tracking, and coordinating construction
document review workflows for PANYNJ Tenant Alteration Applications (TAA).
Prior PANYNJ experience in document control or construction administration is highly desired.

Duties/Required Skills & Experience
• Serve as task leader for document control - coordinating workflows, maintaining
accuracy, and ensuring timely completion of all document management activities
related to PANYNJ Tenant Alteration Applications (TAA)
• Independently manage, file, and secure all incoming and existing engineering and
construction documents, ensuring proper organization, version control, and
confidentiality of privileged drawings
• Log, receive, track, and distribute all construction documents; transfer finalized records
to Document Control per established procedures
• Schedule and coordinate construction document reviews across multiple technical
disciplines
• Maintain a comprehensive database of all incoming and outgoing project documents
and review activities
• Prepare regular reports summarizing TAAs received, review status, and pending actions
• Upload review comments, memoranda, and supporting materials to project
management systems
• Utilize project management software to manage incoming design documents end-toend.
Experience with SharePoint, Trimble / e-Builder, or similar is highly desired.

Minimum Qualifications
• Minimum 5-10 years of experience in records management, document control, and/or
scheduling within an architectural, engineering, or construction-related environment
• Prior PANYNJ experience in document control or construction administration is highly
desired.
• Task leadership experience in document control - coordinating workflows with
minimal supervision
• Strong communication skills - interpersonal, verbal, and written
• Strong technical skills - proficient in Microsoft Office Suite
• Project Management Software - Experience with PA platforms (SharePoint, Trimble /
e-Builder) highly desired. Candidates with experience in comparable project
management software will be considered.
• Self-Directed - manage priorities, and meet deadlines
• Professional - Strong organizational skills, attention to detail, and commitment to
accuracy and confidentiality
• Security Clearance - Must be able to pass TWIC / SWAC / SIDA security background
screening at the High Level

Note: A Registered Architect (RA) or Professional Engineer (PE) license is NOT required for this position.
