Job description

Are you an ultra-organized coordinator who loves creating welcoming experiences for others? Do you thrive in a fast-paced environment where data accuracy and empathy go hand-in-hand?
 
We are looking for an Administrative Assistant, People & Transformation to join us! In this role, you will be the engine behind our People Operations, ensuring seamless execution across the entire employee lifecycle. You will wear several key hats: acting as our "New Hire Concierge" to welcome and guide new employees, keeping our HR systems running smoothly, and providing Executive Assistant support to our Chief People Officer (CPO).
 
What You’ll Do:
1. The "New Hire Concierge" & Onboarding Champion
  • Serve as the primary point of contact for all new hires from the moment they sign their offer letter through their first day.
  • Coordinate and attend bi-weekly new hire orientations in our Philadelphia office, ensuring a warm, seamless, and engaging welcome.
  • Manage onboarding logistics, including deploying onboarding to new hires, coordinating with IT for equipment delivery, and booking new hire travel.
2. People Operations & Systems Administration
  • Execute high-volume, detail-oriented HR processes with data accuracy (data entry into HRIS, maintaining digital personnel files, etc).
  • Coordinate logistics for employee engagement initiatives, company-wide events, and cultural programs.
3. Administrative Support & Team Operations
  • Provide dedicated Executive Assistant support to our Chief People Officer (CPO) and SVPs, including calendar management, scheduling, and expense reporting.
  • Manage the procurement process for the People Team, including submitting purchase orders (POs), tracking invoices, and managing vendor relationships.
What You Bring:
  • You have 1-2 years of experience in an administrative or HR coordinator role (experience supporting executives is a plus).
  • You genuinely love helping people. As our "New Hire Concierge," you bring warmth, patience, and excitement to every new employee's onboarding and first day.
  • You are based in or near Philadelphia and are excited to be in the office to host in-person onboarding orientations and team events.
  • You have a high standard for accuracy. Double-booking calendars or missing a typo in a database just isn't in your DNA.
  • You are comfortable learning and navigating multiple tech platforms (HRIS, ATS, Outlook, Teams, travel booking tools, etc).
  • You will handle sensitive and confidential HR information daily and must exercise impeccable judgment and discretion.

The base salary for this position at the time of this posting may range from $35,000 to $65,000. Individual compensation varies based on job related factors, including business needs, experience, level of responsibility and qualifications.
