Overview
SUMMARY:
Office Manager (Advanced) will be capable of executing and leading tasks associated with mid-executive level (SES/Flag Officer, O-6 military, GS-15/NH-IV civilian), and/or general administrative support in all aspects of administration. Ability to work independently or leading teams to solve problems and have experience with DoD support. Capable of providing daily supervision and direction to support teams.
ESSENTIAL DUTIES AND RESPONSIBILITIES:
โ€ข General Administrative Support
โ€ข Access Control
โ€ข Travel Support
โ€ข Correspondence Support
โ€ข Correspondence Management Support
โ€ข Meeting Support
โ€ข Meeting Attendance
โ€ข Support in Communicating Policy and Guidance
โ€ข Monitor Training and Education
โ€ข Support the In-Processing of Functional Matrix Staff
โ€ข Command Suite Receptionist
โ€ข Other duties as assigned
EXPERIENCE, EDUCATION, AND LICENSURE:
โ€ข BA/BS and 4 years' experience in administrative/business field.
o Acceptable substitute: AA and 6 years' experience in administrative/business field -OR- HS Diploma or equivalent and 10 years' administrative/business field.
โ€ข 3 years' experience executing and leading tasks associated with mid-executive level (SES/Flag Officer, O-6 Military, GS15/NH-IV civilian), and/or general administrative support in all facets of administration.
โ€ข Expert preparing, reviewing and coordinating executive level correspondence.
โ€ข Expert in Controlled Unclassified Information (CUI), For Official Use Only (FOUO), and Classified information handling programs and procedures.
โ€ข Expert in training and advising junior administrative assistants on all matters pertaining to administrative support provided to the Agency.
โ€ข Expert in government records and database management process and procedures.
โ€ข Expert in government travel processes and systems.
โ€ข Expert in developing and maintaining administrative schedules including electronic schedules and calendars.
โ€ข Expert in government correspondence handling procedures.
โ€ข Proficient working with government task management systems.
โ€ข Proficient in researching, reviewing, and preparing meeting support materials (e.g. briefings, papers, read- ahead).
โ€ข Proficient working with government time-management procedures and systems.
โ€ข Expert in Microsoft Office products including Outlook, Excel, Word and PowerPoint.
โ€ข Excellent communication skills to include phone, office etiquette, and written skills.

WORK ENVIRONMENT:
โ€ข All work is performed on-site in accordance with DOD/MDA Policies, Directives, and Processes
โ€ข Work is performed indoors with some potential risks to safety and health hazards related to electronics.
PHYSICAL REQUIREMENTS:
โ€ข May require lifting up to 25 pounds.
โ€ข Requires visual acuity to use a keyboard and monitor.
TRAVEL:
Some travel may be required.
WORK AUTHORIZATION/SECURITY CLEARANCE:
DoD Secret or higher security clearance, or the ability to obtain and maintain a Secret clearance. U.S. Citizenship is required.
ADDITIONAL QUALIFYING FACTORS:
Must have the ability to obtain and maintain a security clearance. In addition, a satisfactory background screening, negative drug test, positive references and proof of identity and legal authorization to work in the United States are required.
