Position Summary: VoltaGrid is seeking a Technical Documentation Coordinator with experience in oil and gas or industrial operations to support the development, control, and maintenance of operational, safety, and quality documentation. This role is responsible for both creating documentation and managing the document control process. The position works with operations, HS&E, quality, and engineering teams to ensure procedures and work instructions are accurate, current, and aligned with field practices.

Essential Duties and Responsibilities:

ย Develop, write, and maintain:

  • Standard Operating Procedures (SOPs)
  • Work Instructions and task-level guidance
  • Safety procedures and permit-related documentation
  • Training materials and reference documents

ย Review and update existing documentation to:

  • Correct inaccuracies and gaps
  • Standardize format, structure, and terminology
  • Ensure alignment with current field practices

ย Work with operations, HS&E, quality, construction, and engineering teams to:

  • Gather technical information and process details
  • Validate procedures against actual work conditions
  • Resolve discrepancies between written procedures and field execution

ย Conduct field engagement, as needed, to:

  • Observe work activities and workflows
  • Capture task steps, variations, and critical controls
  • Ensure documentation reflects real-world conditions
  • Conduct audits and verifications for locations, contractors ย and suppliers as required

ย Ensure documentation aligns with:

  • Internal standards, customer requirements, and company expectations
  • ISO frameworks (e.g., ISO 9001, ISO 45001)
  • API standards and recommended practices

ย Manage document control processes, including:

  • Version control and revision tracking
  • Document review, approval, and publishing workflows
  • Archiving of obsolete or superseded documents

ย Maintain consistency across documentation by:

  • Supporting development of a structured document system

ย Support audits, inspections, and due diligence by:

  • ย Working knowledge of field operations (construction, maintenance, or production environments)
  • ย Experience managing document control processes (versioning, approvals, distribution)
  • ย Ability to gather information from multiple sources and organize it into clear, structured documentation
  • ย Strong attention to detail and organizational skills
  • ย Preferred Qualifications
  • ย Experience with microgrid systems or power generation
  • Familiarity with ISO standards (e.g., ISO 9001, ISO 45001)
  • ย Knowledge of API standards and recommended practices
