MARS Solutions Group is looking for an experienced Document Control Lead/Supervisor located in Chicago, IL. Our client is a Natural gas and electricity industry Leader looking for high-quality talent to make a difference. They are known to respect a traditional work week and often extend contracts for added job security and stability

Position Summary

The Document Control Lead/Supervisor is responsible for overseeing daily document control operations and workflow processes for a team of Document Control Specialists supporting engineering and construction projects. This role ensures all project documentation is accurately collected, maintained, distributed, tracked, and archived in accordance with organizational standards, project requirements, and document management procedures. The Lead/Supervisor also supports process improvement initiatives, staff development, and compliance with document retention and audit requirements.

Responsibilities

Supervise and support document control personnel in daily activities related to document processing, distribution, revisions, and archival.

Maintain and administer document control systems to ensure timely access to the latest approved project documentation.

Audit incoming and outgoing documentation for accuracy, completeness, formatting consistency, and compliance with established procedures.

Coordinate with project teams, field operations, engineering, and project management to collect, track, and organize project records and reports.

Develop, maintain, and improve document management plans, filing systems, databases, logs, and retention processes.

Ensure all document files remain organized, current, audit-ready, and properly archived throughout the project lifecycle.

Monitor document workflows and communicate updates or process changes to stakeholders and team members.

Support the development and continuous improvement of document control procedures and systems.

Train, mentor, and provide guidance to document control staff, including performance feedback and workflow direction.

Assist with staffing recommendations, onboarding, and performance evaluations for assigned personnel.

Minimum Qualifications

High school diploma, GED, or equivalent required.

Bachelor’s degree preferred.

Minimum 5 years of experience in document control, project coordination, or project support within engineering, construction, utility, oil & gas, or related industries.

Experience supporting large capital projects or construction programs preferred.

Strong understanding of engineering document flow, revision control, and records management practices.

Proficiency with Microsoft Office Suite, Adobe Acrobat Professional, and electronic document management systems.

Experience with document scanning, printing, plotting equipment, and electronic filing systems.

Previous supervisory or team leadership experience preferred.

Preferred Skills

Strong organizational and communication skills.

Ability to manage multiple priorities and deadlines in a fast-paced project environment.

Detail-oriented with strong auditing and quality control capabilities.

Knowledge of document lifecycle management and records retention practices.

Ability to lead teams and collaborate effectively across departments.
