Job description

Job Type:Intern (Duree determinee) (Stagiaire)The International Documentation Coordinator is responsible for preparing, reviewing, and managing all documentation required for international shipments to ensure accuracy, timeliness, and compliance with global trade regulations. This role works closely with logistics teams, freight forwarders, customs brokers, and internal stakeholders to support smooth import and export processes. The coordinator plays a critical role in preventing shipment delays, customs issues, and compliance risks through careful attention to detail and effective communication.

Essential Duties and Responsibilities:

  • Prepare, review, and issue accurate international shipping documents, including commercial invoices, packing lists, bills of lading, certificates of origin, and export/import declarations
  • Ensure all documentation complies with international trade regulations, customs requirements, Incoterms, and company policies
  • Verify shipment details such as product descriptions, HS codes, quantities, values, and country of origin for accuracy and consistency
  • Coordinate with freight forwarders, customs brokers, carriers, and internal teams to ensure timely submission of documents
  • Monitor shipments to identify and resolve documentation discrepancies that could result in customs delays or holds
  • Maintain organized and accurate records of all international shipping documentation for audit and compliance purposes
  • Support customs clearance processes by responding to documentation inquiries and providing required corrective actions
  • Collaborate with logistics, customer service, finance, and trade compliance teams to support smooth international operations
  • Assist with internal and external audits related to international trade and shipping documentation
  • Continuously identify opportunities to improve documentation accuracy, efficiency, and compliance
  • Other duties assigned by international documentation supervisor

Other Duties and Responsibilities:

  • Understand and adhere to Good Manufacturing Practices.

    • Stop any observed unsafe acts and obey facility safety rules and procedures.
    • Correct or report any observed safety hazards.

Qualifications:

Education Required:

  • Bachelor's Degree in a related field preferred.
  • Equivalent combination of education and/or experience may be considered.

Experience Required:

  • Minimum two (2) years of experience with the transportation industry, international business, or related field required.
  • Minimum two (2) years of experience with dairy exports preferred.
  • Bilingual based on country requirements preferred.

Certification/Licensure Required:

  • None

Skills Required:

  • Knowledge in domestic and international business acumen, understanding of current and future policies, practices, trends, technology and information affecting the organization, familiarity with the competition, and comprehension of how strategies work in marketplace.
  • Ability to work in a fast-paced environment.
  • Ability to work with minimum supervision, adapt to a changing environment quickly, and think independently.
  • Maintain updated knowledge and understanding of international, federal and state employment and labor laws, regulations, procedures, and standards.
