Foster is seeking a professional, organized, and customer-focused People Operations Assistant to support our People Operations team while serving as the first point of contact for employees, candidates, visitors, and vendors. This role combines traditional HR administrative responsibilities with front desk reception duties, making it ideal for someone who thrives in a fast-paced environment, enjoys helping people, and takes pride in creating a welcoming and professional workplace experience.

The People Operations Assistant plays a key role in supporting employee lifecycle processes, maintaining HR records, coordinating onboarding activities, and ensuring smooth daily office operations.


Essential Responsibilities

Reception & Front Desk Support

  • Greet and assist employees, applicants, visitors, customers, and vendors in a friendly and professional manner.
  • Manage incoming phone calls and direct inquiries to the appropriate departments.
  • Maintain visitor logs and support facility security procedures.
  • Receive, sort, and distribute mail and deliveries.
  • Maintain a clean, organized, and welcoming reception area.

People Operations Support

  • Assist with onboarding activities, including preparing new hire paperwork, orientation materials, and employee files.
  • Support recruiting efforts by scheduling interviews and communicating with candidates.
  • Maintain accurate employee records and electronic personnel files.
  • Process employment-related documentation, including status changes, acknowledgments, and other HR forms.
  • Assist with employee engagement programs, recognition initiatives, and company events.
  • Support benefits administration, training coordination, and other People Operations programs as needed.
  • Prepare reports, presentations, and communications for employees and leadership.
  • Ensure confidentiality of employee information and sensitive business records.
  • Assist with departmental audits, compliance activities, and record retention requirements.

Administrative Support

  • Order and maintain office and breakroom supplies.
  • Coordinate employee badge requests, office access, and related administrative tasks.
  • Assist with meeting preparation, scheduling, and document management.
  • Provide general administrative support for the People Operations team and site leadership.


Qualifications

Required

  • High school diploma or GED.
  • Minimum of 2 years of administrative, receptionist, HR support, or office coordination experience.
  • Strong verbal and written communication skills.
  • Proficiency with Microsoft Office applications, including Outlook, Word, Excel, and Teams.
  • Strong organizational skills and attention to detail.
  • Ability to manage multiple priorities and maintain confidentiality.
  • Professional demeanor with exceptional customer service skills.

Preferred

  • Associate degree in Human Resources, Business Administration, or related field.
  • Experience supporting Human Resources or People Operations functions.
  • Experience with HRIS systems and electronic document management.
  • Bilingual (English/Spanish) skills are a plus.
