Job description

We're a growth-stage healthcare company scaling rapidly across Texas, and we're looking for Case Managers to join our Operations team. This is a precision role blending tech-assisted workflows with critical customer-facing communication. You'll prepare medical documentation with accuracy and consistency, working through a structured, AI-enabled process on every case, and coordinate exam scheduling and logistics across multiple parties, delivering superb customer service along the way.

The Growth Mindset: Who Thrives Here

This role is a perfect launchpad for talented early to mid-career professionals enthusiastic about technology in healthcare and looking to make an impact in a visionary company. We look for three things above all else: a growth-oriented mindset, outstanding communication and customer service skills, and meticulous attention to detail. You don’t need a clinical background; you need an insatiable curiosity, a drive to master new technologies (including cutting-edge AI tools), and a pride in getting the details right every single time. We actively reward curiosity and promote from within as we scale to statewide operations.

Why You’ll Love It Here (Perks & Culture)

  • Continuous Learning & Advancement: Fast company growth means fast tracking for your career. We don't inherit rigid systems; we build them. If you drive results, you will advance.
  • A Workspace That Breathes: Our Cedar Park office is located on a beautiful, tranquil property surrounded by nature—a calm oasis to do your best work.
  • Shared Wins: Performance-based discretionary bonuses tied to company, team, and individual milestones.
  • Flexibility & Balance: Enjoy flexible scheduling and a hybrid work-from-home schedule after your initial 6-8 month onboarding and training period.

What You’ll Do (The Day-to-Day)

As a Case Manager, you will be the final line of defense for data integrity, blending high-tech workflows with human empathy.

  • Own the Process: Execute a structured, tech-assisted computerized process to prepare and perfect complex medical documentation.
  • Bridge the Communication: Support doctors with clinical documentation questions, coordinate chart clarifications, and secure final sign-offs.
  • Patient Advocacy: Conduct structured patient medical history interviews by phone to gather crucial case details.
  • Scheduling & Logistics: Coordinate exam day logistics across multiple parties, including treating doctors, insurance adjusters, patients, and doctors.
  • Audit & Elevate: Cross-reference chart contents against source materials, flagging discrepancies or quality issues directly to the Operations Manager to help improve our systems.

What We’re Looking For

  • Experience: 3+ years in detail-oriented work. Experience with  medical documentation, transcription, clinical support, or legal document prep preferred but not required.
  • The Sharpest Eye in the Room: Strong technical reading comprehension and razor-sharp attention to detail (experience with medical terminology is a huge plus).
  • People First: Excellent customer service and phone communication skills—you know how to make patients feel heard and guided during interviews.
  • Tech-Fluent & Adaptable: Comfortable navigating multi-step workflows across various software programs, Mac OS, Google Workspace, and emerging AI tools. You love learning new software and pick it up fast. Curiosity and enthusiasm for AI is a plus.
  • Language (Bonus): Bilingual in English/Spanish is a major plus!

The Details

  • Reports to: Operations Manager
  • Employment: Full time (30-50 hours/week) | At-will | Contingent on a background check
  • Authorization: Must be authorized to work in the U.S.
