JOB TITLE: Document Management Associate

REPORTS TO: Document Management Lead/Manager

DEPARTMENT: Centralized Support Services/Document Management

FLSA STATUS: Non-exempt. Monday to Friday, 8 am to 4:30 pm EST

OVERVIEW: To assist in the daily operations by processing both incoming and outgoing mail communications.

ESSENTIAL DUTIES AND RESPONSIBILITIES:

  • Receives, identifies, and delivers incoming packages internally.
  • Opens incoming mail and process it accordingly.
  • Meter mail and maintain meter machine reports.
  • Send UPS packages as instructed.
  • Fold letters and stuff envelopes.
  • Faxing, emailing, or scanning documentation as instructed.
  • Sorting, looking up, and counting various documents.
  • Process outgoing IME Certified letter as needed. as needed
  • Receive, log and process incoming certified mail as needed.
  • Send outgoing mail from Document Mgmt. email as needed.
  • Cover Reception desk as needed.
  • Print outgoing letters using Automate, as needed
  • Run and maintain the folder inserter, as needed
  • Monitor and process “Return to Sender” workflow, as needed
  • Performs additional duties as directed by Document Management Lead or Manager.

SKILLS:

  • Proficient in Microsoft Office and Outlook, at a mid- level or above
  • Organizational skills
  • Data Entry Skills
  • Excellent written and verbal communication skills
  • Attentive to details
  • Ability to follow instructions.
  • Demonstrate the ability to do multiple tasks, prioritize effectively, and successfully fulfill work assignments.
  • Proficient computer skills (create folders, open attachments, drag/drop PDF’ s, open/download information from CD’s & flash drives)

EDUCATION, EXPERIENCE AND TRAINING:

  • High School Diploma required.
  • Previous experience with Document Handling
  • Prior experience in performing office-related tasks such as faxing, emailing, and scanning documents.

PHYSICAL DEMANDS:

  • Carrying, Lifting, Standing, and sitting for extended periods of time.
