We are currently hiring a Document Control Manager located in Southern California. This position will establish and administer document controls for a public works capital improvement program, ensuring that project records are complete, current, and retrievable across all stakeholders. This position is a program-wide role and is not assigned to a single project. This is a high-impact, high visibility role supporting both internal teams and client resources towards successful project outcomes and we encourage talented professionals to apply.
Essential Duties & Responsibilities:
  • Establish and maintain the document control system, file structure, and naming conventions across the portfolio.
  • Administer submittal, request-for-information, and change order logs.
  • Control drawing and specification revisions and maintain current-set integrity.
  • Manage contract document repositories, access permissions, and version history across multiple consultant firms.
  • Maintain records retention in conformance with our client's policy and applicable public records requirements.
  • Support implementation and administration of our client's web-based project management tools.
  • Prepare document packages for audits, Department of Finance review, and public records requests.
  • Train consultants and our client's users on document control procedures.
  • Collaborate with cross-functional departments, vendors, and contractors to ensure timely implementation of changes to controlled documents.

Knowledge & Skills Required:
  • Experience with setting up and maintaining a project filing system.
  • Experience with record retention, protection, retrieval, transfer and disposal.
  • Ability to manage confidential project information.
  • Utilize effective written and oral communication skills.
  • Hold self accountable to individual and team goals.
  • Consistently communicates and collaborates with team members and clients.
  • Demonstrate ability to be dependable, diligent, and thorough.
  • Exercise creativity and resourcefulness in managing the project effectively in a compressed timeframe.

Preferred Education and Experience:
  • Associate's degree or Bachelor's degree in Business Administration, Construction Management, Engineering, Architecture, or related field.
  • Minimum five (5) years of document control experience on capital construction projects.
  • Demonstrated experience with document management platforms (Procore, e-Builder, Aconex, SharePoint, or comparable).
  • Public-sector records retention experience preferred.

The salary range for this full-time role is $95,000.00-$126,666.68 per year. Ranges are determined based on the position, geography, client and industry experience and level, and represent a good faith effort to provide a fair and equitable salary. This range reflects base salary only, and not the total compensation package. Cumming Group reserves the right to pay more or less than the posted range, depending on a candidate's experience, skills, and qualifications, including client requirements.
