Job description

Revenue Cycle Management is looking for a full-time Document Imaging Specialist to join the team!
SUMMARY: The Document Imaging Specialist is responsible for converting paper records into digital files, maintaining organized electronic and physical filing systems, and supporting administrative tasks related to patient accounts. This role will also serve as a backup to the Call Center Representative, assisting with incoming calls, patient inquiries, insurance verification support, and general customer service when needed. The primary focus of this position is document scanning and record maintenance; phone coverage is provided on an as-needed basis.
ESSENTIAL FUNCTIONS:
Document Handling
  • Retrieve and transport physical records for scanning.
  • Review documents for completeness, accuracy, and proper sequencing prior to scanning.
  • Prepare records for scanning, including removing staples, sorting, and organizing.
  • Scan documents into the appropriate system(s) following established procedures.
  • Ensure scanned documents match the original record (e.g., none missing, all pages present).
  • Re-scan only documents that failed to import or were not captured correctly.
  • Maintain electronic and physical filing systems in accordance with department procedures.
  • Sort incoming mail, scan, and attach documents received from medical insurance companies into the EMR.
  • Notify supervisor of any scanning errors or system concerns.
  • Maintain confidentiality of patient records in accordance with HIPAA and organizational standards.
  • Ensure compliance with HIPAA, federal, and state regulations.

Call Center
  • Provide coverage for inbound patient calls when the primary call center representative is unavailable or as assigned.
  • Answer incoming calls courteously, triage, and transfer to appropriate departments.
  • Assist patients by responding to general inquiries, basic account questions, and scheduling-related needs.
  • Respond to emails sent to general office inboxes as assigned.
  • Support the Verification of Insurance (VOI) team by performing outbound calls to patients scheduled for upcoming services.
  • Provide cost-share information and assist with pre- or post-service out-of-pocket payment inquiries as directed.
  • Maintain accurate documentation of patient interactions within EMR or other designated systems.
  • Generate or retrieve billing-related information when requested.
  • Perform other related tasks as needed.

KNOWLEDGE, SKILLS, AND ABILITIES:
  • Ability to sort and file documents alphabetically or numerically.
  • Skill in operating computers, scanners, and related equipment.
  • Exceptional customer service and phone etiquette.
  • Excellent verbal and written communication skills.
  • Ability to communicate clearly and effectively both verbally and in writing.
  • Strong organizational, time management, and attention to detail skills.
  • Knowledge of medical terminology and EMR systems.
  • Proficiency with Microsoft Office Suite (Outlook, Word, Excel) and Microsoft Teams.
  • Ability to work independently and collaboratively as part of a team.
  • Knowledge of HIPAA, federal, and state regulations regarding patient information.

EDUCATION AND EXPERIENCE:
  • High School Diploma or GED
  • One (1) year of general customer service experience
