SUMMARY OF DUTIES:The Document Compliance Specialist is responsible for ensuring all documentation related to the Quality Management System (QMS) within the ERP system and internal databases is accurate, current, and compliant with ISO 9001 and Aalberts requirements.
ESSENTIAL DUTIES AND RESPONSIBILITIES:
  • Oversee the full document life cycle, including creation, review, approval, distribution, revision, archiving, and removal of obsolete versions.
  • Control, manage, and maintain all Quality documentation, including procedures, work instructions, and forms
  • Conduct regular internal audits of documentation processes to identify areas for improvement or non-compliance

SPECIFIC DUTIES ASSIGNED:DOCUMENT CONTROL
  • Maintain accurate revision control of documents to ensure the latest, approved versions are in the applicable network folders
  • Manage the record retention schedule and secure storage of quality records
  • Ensure standard templates are established, controlled, and updated for each level of documentation
  • Work with all departments to provide documentation requirement guidance, resolve documentation issues and standardize documentation processes
  • Identify potential gaps in process documentation, work with and Engineering (Quality & Manufacturing) to ensure that missing documents, correct/update current documents, etc. are implemented
  • Assist in the preparation for external audits by providing necessary documentation and records

  • Finalizing inspections for all document related verifications and/or creation: Verification of applicable records are on file and conforming, creation of certifications, issuing new Tickets, etc.
  • Collects, reviews, manages, and supplies required records for Qualification requirements for Quality Engineering: material test reports, subtier certifications, NDT records, etc.
  • ERP documentation development - transitioning paper-based inspection forms into electronic-based for specific ERP Routing operations (RI's IP's & FI's)
  • Ensure Records are properly identified, organized and readily available upon request
  • Perform other document-related administrative duties as assigned

MANUFACTURING SUPPORT
  • Interfaces with Quality, Manufacturing, Engineering, and Shipping to resolve documentation discrepancies
  • Provides guidance on documentation requirements, forms, and record keeping expectations
  • Ensures quality paperwork aligns with routers, inspection criteria, and customer flow downs
  • Supports continuous improvement efforts related to document accuracy, efficiency, and standardization

Associate or Bachelor's degree in Quality, Manufacturing, Business, or related field OR equivalent experience
