Job description

Administrative Support

Provides administrative and secretarial support to the daily operations of the office.

Essential Duties and Responsibilities

  • Provide reception services and greet visitors
  • Must have excellent customer service skills and be able to multi-task with multiple phone lines.
  • Maintain employee files, keeping record of all necessary training, time sheets, and certifications.
  • Prepare and provide required weekly and monthly reports to the government
  • Perform data entry in DMLSS, and other software as required
  • Sort and deliver mail
  • Order and distribute supplies
  • Assist Project Managers with administrative duties
  • Perform scanning and copying of documents
  • Other duties as assigned

Knowledge, Experience and Skill Requirements

  • Two years prior office administrative experience preferred
  • DMLSS-FM program experience preferred.
  • Experience with Microsoft Word, Excel and Outlook
  • Strong organizational skills
  • Experience using telephones, fax machines, copy machines, scanners and printers

Physical, Environmental and Sensory Requirements

  • Work environment is a typical office setting
  • Physical demands include intermittent sitting, standing, and walking, and occasional bending reaching and lifting
  • Limited exposure to elements such as heat, cold, noise, dust, dirt, chemicals, etc. but generally not to the point of being disagreeable
