Job description

Licensing and Credentialing Specialist

You will own the full lifecycle of our licenses, enrollments, and registrations across every jurisdiction we operate in. This is a detail-heavy, deadline-driven role. Your job is to make sure nothing lapses, nothing is late, and every regulator, payer, and accreditor has current and accurate information about our company at all times.

Maintain a master licensing and renewal calendar covering all state DME/HME licenses, pharmacy board permits, medical gas and device permits, business registrations, and sales tax registrations.

Prepare, submit, and track renewal applications for state licenses across 30+ states, ensuring on-time filing with complete supporting documentation.

Manage Medicare enrollment (PECOS/CMS-855S) and state Medicaid enrollments, including revalidations, updates, and new-state applications.

Process company change events (address changes, ownership updates, officer changes) across all licenses, enrollments, NPI/NPPES records, and accreditation bodies, and confirm each agency has processed the update.

Correspond directly with state licensing boards, Medicaid agencies, CMS/MACs, and the National Supplier Clearinghouse to resolve deficiencies, respond to requests, and confirm application status.

Support ACHC accreditation compliance, including notifications, documentation requests, and survey preparation.

Maintain organized, audit-ready records of all licenses, applications, correspondence, and confirmations.

Monitor regulatory changes in states where we operate and flag new licensure requirements before they affect operations.

Track and pay renewal fees, registered agent requirements, and annual report filings tied to licensure.

Report license status, upcoming deadlines, and open issues to leadership on a regular cadence.

2+ years of experience in healthcare licensing, credentialing, payer enrollment, or regulatory compliance (DME/HME, pharmacy, home health, or similar strongly preferred).

Working knowledge of Medicare supplier enrollment (PECOS, CMS-855S, supplier standards) and state Medicaid enrollment processes.

Experience managing multi-state license portfolios and renewal calendars.

Exceptional organization and follow-through; you close loops and confirm completion rather than assuming it.

Strong written communication for professional correspondence with state agencies.

Comfortable with spreadsheets, shared trackers, and document management systems; experience with CRM or credentialing software a plus.

Able to read regulatory language and extract concrete requirements and deadlines.

Competitive salary based on experience.

To apply, please email your resume to george@medsupply.us. In the body of your email, include exactly three bullet points addressing the following:

  • Your enrollment and licensing experience. Describe the largest license or payer enrollment portfolio you have personally managed. How many states, which license types or payers, and what was your role in keeping it current?
  • A problem you solved. A state licensing portal rejects your renewal filing two weeks before the license expires, and the agency is not answering the phone. Walk us through exactly what you would do, step by step.
  • How you stay on top of deadlines. Describe the actual system you use to track dozens of renewal dates, fees, and follow-ups so nothing slips. Be specific about tools and process.

Applications that do not follow this format will not be reviewed. This is the first test of the job: reading instructions carefully and executing them exactly.
