JOB TITLE: Mobile Program Distribution Coordinator Non-Exempt
REPORTS TO: Director of Distribution
SUPERVISES: None SALARY RANGE: $22.00 - $28/Hour DOE

JOB SUMMARY:
The Mobile Program Distribution Coordinator plays a critical role in The Food Depot's mobile food distribution program. This hands-on, client-centered position ensures trailers are loaded safely, accurately, and efficiently, while supporting the overall flow of food to meet community needs. The role works closely with the Mobile Delivery Coordinator, Programs Team, and Director of Distribution to ensure seamless coordination across departments. The Mobile Program Distribution Coordinator is responsible for ordering product weekly and loading trailers daily. The role also serves as a backup driver when needed and is responsible for maintaining trailer cleanliness and compliance with hygiene and safety standards. Focused exclusively on mobile operations, this position supports both day-to-day execution and the long-term growth of one of The Food Depot's most adaptable and impactful food access programs. The ultimate goal is to ensure every trailer departs fully stocked, well-organized, and prepared to deliver food with dignity, efficiency, and care.
PRINCIPAL RESPONSIBILITIES:
Trailer Loading & Setup (Daily):
  • Load trailers based on approved distribution schedules.
  • Ensure food is properly staged, secured, and organized by type (dry, refrigerated, frozen).
  • Use pallet jacks and dollies to maximize space and protect product integrity.
  • Load cold items last; manage temperature-sensitive products accordingly.
  • Arrange trailer interior for logical and efficiency for distribution sites.
  • Conduct pre-departure inspections for safety, cleanliness, and readiness.

Operational Impact:
  • Maximize trailer capacity to reduce fuel use and travel time.
  • Standardize trailer setups for efficient and respectful client service.
  • Coordinate with Warehouse, Mobile Delivery Coordinators to prevent understocking, or food spoilage.
  • Improve layout strategies to reduce setup time and improve site flow.
  • Track and document trailer readiness for accountability and quality control daily.
  • Ensure trailers are cleaned weekly, free from food debris, and meet hygiene and safety standards.

Inventory & Ordering Coordination (Weekly):
  • Review distribution calendars to project product needs.
  • Submit and adjust weekly food orders tailored to each mobile route.
  • Work closely with Inventory, Agency Support, and Warehouse teams.
  • Log and reconcile product use, leftover stock, and discrepancies.

Food Safety & Cleanliness:
  • Ensure all food meets TFD and Feeding America standards.
  • Clearly separate allergen and non-allergen products.
  • Clean trailer interiors regularly; report equipment or structural issues.
  • Follow proper food handling procedures at all times.

Team Communication & Coordination:
  • Participate in weekly planning meetings with Distribution and Mobile Delivery Coordinators.
  • Provide feedback to Programs staff on shortages or agency needs.
  • Act as a primary contact for trailer contents and setup during field deployments.
  • Communicate product availability changes or order issues to relevant teams promptly.

Strategic Support & Scalability:
  • Serve as internal lead for mobile trailer logistics, allowing program staff to focus on direct service.
  • Identify bottlenecks and inefficiencies; propose improvements.
  • Help build scalable systems for increased mobile delivery capacity without sacrificing quality.

Additional Responsibilities:
  • Serve as a backup driver as needed, supporting deliveries during staff absences, high-volume periods, or emergencies.

Qualifications:
  • CDL Class A preferred, but not required (willingness to obtain within one year of employment is excepted)
  • Experience in logistics, food distribution, warehouse operations, or program coordination
  • Strong organizational and time management skills
  • Ability to work independently and within a cross-functional team
  • Physical ability to lift and move items regularly (up to 50 lbs)
  • Commitment to equity, dignity, and client-centered service
  • Bilingual (English/Spanish or English/Tewa) preferred
  • Familiarity with food safety standards and mobile food operations a plus
  • Work is primarily performed at The Food Depot's warehouse, trailer loading areas, and offsite mobile distribution locations
  • Schedule aligns with weekday mobile distribution days (Monday-Friday), with occasional flexibility based on route timing
