Summary:

Responsible for direct supervision of all operational personnel and administrative functions. The Operations Manager will also be part of a team that creates and implements procedures to identify, resolve and document administrative and operational issues in addition to creating procedures to make processes more efficient and accurate.

Responsibilities of the Operations Manager include, but are not limited to:

  • Maintain records including directing all aspects of administration and operations, overseeing and coordinating all transactions related to the hiring, onboarding, timecard reviews and payroll with corporate HR and Payroll departments.
  • Direct a proactive administrative and operational function that supports the organization’s overall objectives.
  • Manage the operations department staff.
  • Coordinate the corporate safety training courses and maintain all monthly safety training attendance sign-in sheets and quizzes. Update monthly award points tracking spreadsheet.
  • Audit and maintain Data Log comparisons to SAP for repair shops.
  • Audit direct labor time entries into SAP for all related job costing.
  • Coordinate and execute inventory physical counts.
  • Coordinate all facility needs for building and grounds including all contracts for trash removal, snow removal, landscaping, sprinkler setup and winterization and any interior needs for utilities and building.
  • Provide assistance in review of all legal and operating contracts.
  • Set up and coordinate with Central Alarm for all building access, keys and codes.
  • Order and manage all company logo wearables and promotional items including shirts, hoodies, jackets, hats, paper products, pens, business cards, sales brochures, line cards, demo units, samples and other marketing support.
  • Provide all sales and marketing reporting functions.
  • Liaison to maintenance of company website and DXP IT.
  • Review and administer all aspects of corporate insurance and requests for certificates of insurance.
  • Coordinate all company vehicle/fleet needs including registrations, titles, insurance and asset additions through the corporate office.
  • Work according to the principles and procedures in the Pro-Seal Quality Manual.
  • Continually evaluate standard operating procedures to improve efficiency.
  • Perform all assigned tasks in a timely manner. Work in a safe and ethical manner, continually participate as a positive, productive contributing team member.
  • Achieve self-improvement by attending training sessions, in-service and workshops conducted by Pro-Seal and/or other agencies.
  • Be willing to work additional hours should conditions arise.
  • Perform other duties as assigned by the General Manager.
  • Direct Reports: Customer Service Manager, Pump Repair Service Manager, Seal Repair Supervisor and Fabrication Manager.
  • Authorities: System: Computer Licenses (Microsoft Office) SAP, Network (Sales & Marketing Drives), Data Log – Access Databases,
  • Facility: Building key and alarm code

 Qualifications of the Operations Manager include, but are not limited to:

  • Degree in Business and/or related experience in Operations Management, preferably in industrial distribution.
  • Strong leadership and technical background.
  • Minimum 5-7 years’ experience with department supervisory experience.
  • Ability to function independently while maintaining clear communication with direct reports and management.
  • Effective problem analysis and resolution skills.
  • High level of ability to organize, manage time, set flexible and shifting priorities while meeting deadlines.
  • High affinity for details.
  • High level of interpersonal skills to relate to all levels within the organization.
  • Advanced proficiency with Microsoft Office products (especially Word, Excel).
  • Knowledge of SAP Business One is desirable. Must be willing to obtain this knowledge through training and continuing education.
  • Must be proactive, confident and self-directed, focused on customer service and project completion.
  • Must have pleasant and courteous manners and be able to relate well to customers, vendors, employees and all groups working with the company.
  • Must be able to maintain composure in emergency situations.
  • Must be able to follow written and verbal directions from the General Manager or respective designee where applicable.
  • Must possess a high level of verbal and written communication skills.
