Job description

Job Title: Office Manager - Fort Pierce
Reports to: General Manager
Job Summary
The Office Manager position is a highly versatile and detail-oriented role and is responsible for overseeing day-to-day office administration, support for financial operations, and act as a local liaison for Human Resources and Safety. The ideal candidate thrives in a multi-faceted role, seamlessly balancing accounting support (AR collections/cash reconciliation), employee engagement, and routine facility management.
Key Responsibilities
Accounting
Accounts Receivable:

  • Issue customer invoices and credits.
  • Perform routine customer collection calls to ensure timely payments.
  • Deposit payments on bank site and record in ERP system.
  • Prepare and issue Lien Waivers and Intent to Lien letters as required.
  • Conduct new client credit reviews.
Credit Card & Expense Processing:
  • Enter American Express expenses into ERP daily and attach supporting receipt copies.
  • Reconcile daily transactions with monthly credit card statements.
Other Accounting
  • Assist with bank reconciliation.
  • Maintain and update customer and vendor contact information in the ERP system.
  • Complete and process tax-exempt forms (vendors and customers).
  • Assist in keeping sales tax rates updated across systems.
  • Complete vendor credit applications for processing.
  • Asist in management of property and local taxes.
Human Resources
  • Serve as the primary on-site point of contact for employee inquiries regarding payroll, benefits, handbooks, and policies.
  • Assist management with candidate interview scheduling and coordination through the Paylocity Recruiting Module.
  • Maintain up-to-date employee training records.
  • Manage safety documentation, including maintaining the OSHA 300 log and assisting with workers' compensation claims.
Office Administration & Operations
  • Schedule, coordinate, and manage monthly lunches and team recognition events.
  • Order, track, and maintain an inventory of office supplies.
  • Coordinate schedules and expectations with the office cleaning contractor.
  • Manage daily incoming and outgoing mail distribution.
  • Assist with tracking, renewing, and maintaining business permits and licenses.

Qualifications & Requirements
  • Experience: 3+ years of experience in office management, administrative operations, or a combined bookkeeping/HR support role.
  • Accounting/ERP Knowledge: Familiarity with AR, receipt reconciliation, inventory and ERP systems.
  • HR & Compliance: Basic understanding of HR support processes, workers' compensation claims, and OSHA recordkeeping standards.
  • Skills: Strong organizational skills, attention to detail, proactive communication, and ability to handle confidential employee and financial data.
  • Software: Proficiency with standard office software (Microsoft Office / Google Workspace), financial software tools and ERP systems.

  • Mostly sedentary work that is completed while sitting
