Job description

Position Summary:

This position is responsible for assisting the Distribution Manager with the functions of the 5-Gallon Distribution Division. The Distribution Manager Assistant plays a key role in daily dispatch operations, fleet coordination, driver support, and administrative functions. The role requires flexibility, physical stamina, strong communication skills, and the ability to act in a lead capacity in the Distribution Manager’s absence.

Minimum Job Requirements:

  • High school diploma or GED required

  • Valid government-issued ID for I-9 employment eligibility verification

  • Sensitivity to confidential matters required

Qualifications:

  • 1–3 years of delivery, route driving, or distribution experience preferred

  • Valid State of Hawaii CDL Class A or B driver’s license with clean abstract preferred

  • Current CDL Medical Card Preferred

  • Proficiency in administrative functions with well-developed written and verbal communication skills

  • Competency in Microsoft Office suite (Word, Excel, Outlook, etc.)

  • Ability to consistently lift and carry up to 50 lbs frequently (5-gallon water bottles, approx. 46 lbs each)

  • Strong customer service and interpersonal skills

  • Dependable, punctual, and team-oriented

  • Ability to work in a fast-paced and physically demanding environment

  • Maintain consistent attendance and adhere to assigned schedules


Key Responsibilities:

Distribution & Dispatch

  • Sort and assign daily green slips to appropriate driver boxes as directed by the Distribution Manager

  • Dispatch and/or schedule deliveries pertaining to 5-gallon distribution

  • Assist distribution drivers with fleet-related issues in the absence of the Distribution Manager

  • Open the Division at 5:00 a.m. in the absence of the Distribution Manager

  • Act as backup route driver as needed (in-house work hours do not apply while acting as route driver)

  • Identify and resolve discrepancies related to missed deliveries as directed by the Distribution Manager

Fleet & Operations

  • Assist with documentation of Fleet Inventory Control policies and procedures in accordance with management standards

  • Perform frequent lifting and carrying of 5-gallon water bottles (approximately 46 lbs each), delivering up to 200 bottles per day

  • Inspect and maintain cleanliness of delivery vehicles

  • Report accidents, damage, or safety concerns immediately

  • Follow all traffic laws and company safety policies

Administrative Support

  • Perform a variety of administrative functions while assigned in-house

  • Complete delivery documentation including invoices, logs, and reports

  • Maintain accurate delivery and customer records

  • Support the Distribution Manager and operations teams with additional tasks as assigned

  • Complete other related duties as assigned by the Distribution Manager

Customer Service

  • Provide professional and courteous service to customers

  • Address customer concerns and escalate issues when necessary

  • Represent the company in a positive and professional manner

Work Schedule:

  • Full-time

  • Monday–Friday

  • Overtime and occasional weekend work may be required
