Job Description/Responsibilities
POSITION SUMMARY
The Distillery Coordinator owns the administrative and inventory functions that keep the Distillation, Aging Warehouse, and Distillery Planning departments compliant and productive. This role directly impacts system inventory accuracy through ownership of all distillery production booking and supports commercial operations across the distillery.
KEY RESPONSIBILITIES
  • Production Booking & Inventory - Book all distillery production in the system - mash, distillate, DDG, barrel entry, barrel shipments, and liquid shipments - and maintain system inventory accuracy.
  • Logistics & Shipping - Track on-site trailer inventory, shipments, and used barrels; enter DRPs; prepare and deliver outgoing Bills of Lading for newly filled barrels and bulk liquid.
  • Tanker & International Coordination - Coordinate bulk tanker receiving and international shipments.
  • Commercial Operations - Manage vendor set-up, purchase order documentation, invoicing pre-checks, and general troubleshooting.
  • Compliance & Records - Maintain government records and vehicle inspection documentation; perform other clerical duties as assigned.
  • Receiving & Reconciliation - Complete goods receipts for consumables and reconcile inventory when discrepancies are identified.

Qualifications/Requirements
REQUIRED QUALIFICATIONS
  • Bachelor's degree
  • Excellent oral and written communication skills
  • Working knowledge of Microsoft Office (Word, Excel, and Outlook)
  • Strong interpersonal, analytical, and technical skills
  • Ability to manage multiple priorities simultaneously

PREFERRED QUALIFICATIONS
  • Experience with System 21 ERP software
  • APICS or Six Sigma certification
  • Experience with manufacturing systems (ERP, MRP, MPS, WMS)

SCHEDULE & WORKING CONDITIONS
  • On-site at Buffalo Trace Distillery in Frankfort, KY
  • Day shift - 7am starting time
  • Ability to work overtime as needed
