RESPONSIBILITIES:  The scheduler is the dispatch back up for the operational supervisor for the central dispatch department.  All decisions regarding movement of trucks & scheduling rest on their authority to make well-planned decisions and accommodate the customer’s needs. 

SCHEDULER PROCEDURES:

SCHEDULING:   The Scheduler will, throughout the day, continually monitor orders, tracking and scheduling and make adjustments necessary to maintaining service while best utilizing drivers and equipment.  The Scheduler will also keep a watchful eye on the work for the following day and week.  He or she will also be responsible for making sure that the scheduling graph always reflects the correct availability of trucks and proper delivery times.  When the schedule becomes booked the Scheduler will direct everyone in dispatch as to the first available time for taking additional orders.

SICK OR LATE DRIVERS: An email will be forwarded to the Customer Service/Dispatch Manager when a driver is late/out sick and entered in the Driver Late-Out Log as well as recorded in the work file in Track-It.

TRACKING:  The Scheduler will track the progress of orders at all dispatch regions and direct truck movement between Dispatcher as deems necessary to maintaining service in those areas.

PLANT CLOSINGS:  Scheduler will confer with the Customer Service/Dispatch Manager and direct Dispatcher when to close plants because of lack of work, scheduled plant shut downs for maintenance or seasonal closings and help reschedule orders to other locations. When temporary breakdowns occur, the Scheduler will assist the Dispatcher on when and where trucks will be relocated.  At night, before leaving, the Scheduler will communicate to the plants any special mixes, products or considerations that could affect concrete production the next day.

TRUCK BREAKDOWNS: Drivers will attempt to contact the Scheduler in the event of a truck down situation. The scheduler will then inform the Dispatcher, contact the shop with all necessary details, email the Customer Service/Dispatch Manager and Division Manager. At this point if it is necessary for a Truck Foreman to be on site at the breakdown for safety reasons the Scheduler will dispatch them accordingly.

ACCIDENT/INCIDENT: In the event of an accident/incident the Scheduler will work with the Dispatcher to notify any emergency services as needed, dispatch Truck Foremen or available field personnel to site, and send out an email to the Customer Service/Dispatch Manager, Division Manager and Safety Dept.

 CUSTOMER COMMUNICATION:  The Scheduler will call or direct other dispatch personnel to call customers if there are questions on their orders or if service will be late or interrupted.  They will also make an attempt to call key customers or jobs that could affect the schedule if they haven’t already placed or confirmed their orders.  Scheduler will also initiate 5 calls per week to customers regarding their service and log results.

SAFETY & PLANT MEETINGS:  The Scheduler will confer with Customer Service/Dispatch Manager and be responsible for scheduling all plant and driver safety meetings.

DAILY “KEY ORDER” MANAGEMENT: Scheduler will work with the Dispatcher at the start of the day on a plan to alert Batchmen, Truck Foreman and Drivers of any “Key Orders” that have been flagged by the Quality Control Manager.

CSR/ORDER TAKING: Customer Service Representatives answer the phone promptly with a pleasant and accommodating tone of voice, take the customer’s order or orders in a detailed, timely and professional manner, and to record accurate delivery and product information on that order.  The Customer Service Representative will also promote “value-added” products and upon finishing the order will completely repeat the order back to the customer and ask the customer about any future orders. Customer Service Representatives will also be responsible for negotiating delivery times with customers, be good problem solvers and most importantly, foster lasting business relations with the customers.

QUALIFICATIONS & IDEAL SKILL LEVELS:

Minimum high school education–business, logistical and or communicational training.  Building industry background desirable.

Must be able to multi-task with excellent organizational and planning skills.

Good computer skills with knowledge of current operating systems and office suites.

Able to analysis problems quickly and make good decisions

Reliable attendance and work record.

Good phone and communication skills.

Thorough and detailed orientated.

Must be willing to work longer hours.

Able to handle pressure and stress while staying composed. 

Must be able to demonstrate teamwork ethic.

Must be able to work and communicate well with dispatch employees and other departments.
