We are looking for an organized, responsive Service Dispatcher / Coordinator to manage service requests, technician schedules, product deliveries, installation appointments, travel arrangements, and work-order documentation.

This is more than a traditional truck-dispatch position. You will be the central point of coordination between customers, technicians, the equipment shop, purchasing, shipping, and Chemtek management.

What You’ll Do

  • Receive service requests by phone, email, and internal communication systems.
  • Gather complete information about the customer, equipment, problem, location, and urgency.
  • Prioritize service calls based on safety, customer impact, technician availability, location, and required parts.
  • Schedule local technicians, traveling technicians, deliveries, preventive maintenance, and installations.
  • Coordinate technician routes to reduce unnecessary travel and downtime.
  • Confirm appointments and site availability with customers.
  • Communicate schedule changes, delays, and technician arrival information.
  • Prepare work orders and provide technicians with customer information, equipment history, parts requirements, and service instructions.
  • Coordinate with the Shop Coordinator to ensure equipment and installation materials are ready.
  • Coordinate with purchasing and inventory personnel when parts are required.
  • Arrange approved lodging and travel details for overnight service assignments.
  • Monitor open service calls and follow up with technicians throughout the day.
  • Confirm that work orders, photographs, service notes, delivery records, and customer signatures are completed.
  • Identify incomplete documentation and follow up promptly.
  • Maintain service calendars, customer equipment records, technician availability, and preventive-maintenance schedules.
  • Help track repeat service calls, outstanding repairs, parts usage, and customer follow-up requirements.
  • Assist customers professionally and calmly, particularly when equipment is down or production is affected.

What We’re Looking For

  • Experience in dispatching, logistics, service coordination, scheduling, transportation, customer service, or office administration.
  • Strong organizational skills and attention to detail.
  • Ability to manage multiple priorities and changing schedules.
  • Professional telephone and email communication.
  • Ability to remain calm when customers or technicians are under pressure.
  • Good judgment when prioritizing service calls.
  • Experience with CRM, ERP, dispatching, work-order, or scheduling software is preferred.
  • Comfortable using email, spreadsheets, calendars, and business software.
  • Ability to communicate effectively with customers, technicians, drivers, purchasing, and management.
  • Knowledge of industrial equipment, trucking, construction, asphalt, manufacturing, or field service is helpful but not required.

Schedule

  • Full-time, hourly position.
  • Based at Chemtek’s Yanceyville facility.
  • Primarily Monday through Friday.
  • Some early or late communication may occasionally be required when technicians are traveling or completing customer installations.

Benefits

  • Company-funded QSEHRA health reimbursement benefit for eligible employees and family members.
  • 401(k) with company contribution.
  • Paid vacation.
  • Paid sick leave.
  • Paid holidays.
  • Eight additional paid days off during Chemtek’s Christmas holiday period.
  • Training on Chemtek products, equipment, customers, and service procedures.
  • Opportunity to grow with Chemtek’s expanding service organization.

The successful candidate will be someone who enjoys bringing order to a busy schedule, communicates clearly, follows through, and understands that good coordination is essential to good customer service.
