Job description

Job Summary:

Acts as an extension of senior management ensuring a positive customer experience while being the representative of senior management to others. Provides administrative support and performs numerous duties, including scheduling, writing correspondence, emailing, overseeing visitors, routing callers and answering questions and requests.

We are looking for a talented Administrative Associate to join our Distribution business in (San Leandro, CA). 

100% Onsite

Will make an impact in the following ways:

Anticipates the needs of senior management and manages their schedules

Arranges and coordinates travel, including expense reports and visa/passport requirements

Gathers, compiles, verifies, and analyzes information for use in memos, letters, reports, presentations, and news releases

Facilitates smooth communication between senior management, coworkers, and external parties such as media, customers, vendors, and the public

Maintains the security and confidentiality of management records and files

Monitors, reviews, and approves standard expenditures to ensure activities are conducted within established budgets

Performs tasks using independent judgment, including preparing documents and presentations, screening and responding to correspondence and calls, arranging meetings, and taking/distributing minutes

Acts as a resource for colleagues with less experience

  • Ensure compliance with company safety standards, environmental policies, and operational procedures throughout field service activities.
  • Create, review, and manage estimates, work orders, and customer documentation within company service management systems.
  • Coordinate daily scheduling and dispatching of field service technicians for Cummins maintenance and repairs.
  • Review completed service documentation for accuracy, completeness, warranty compliance, and proper coding before invoicing or claim submission.
  • Support warranty claim administration by collecting service data, repair details, and required documentation in accordance with Cummins procedures.
  • Communicate professionally with customers regarding service status updates, scheduling changes, estimated completion times, and follow-up actions.
  • Collaborate cross-functionally with sales, parts, and engineering teams to support comprehensive customer solutions across service operations.

Education, Licenses, Certifications: 
High school diploma or certificate of completion of secondary education or equivalent experience to the extent such experience meets applicable regulations. 
This position may require licensing for compliance with export controls or sanctions regulations. 
Experience: 
Significant work experience and in-depth knowledge obtained through specialized training and relevant experience.

Base salary rate commensurate with experience.
