About the Role

The Assistant Property Manager (APM) supports the day-to-day operations of Hiffman National’s commercial property portfolio, which includes retail, office, industrial, and medical office assets. The APM works closely with Property Managers and Senior Property Managers to ensure operational excellence, tenant satisfaction, and financial accuracy across assigned properties.

Key Responsibilities

  • Support the management of daily property operations, including tenant communications, vendor coordination, and service delivery.
  • Assist with preparation and management of annual operating budgets and monthly financial reports.
  • Review and code invoices, monitor receivables, and track delinquencies.
  • Maintain lease administration files, abstracts, and compliance documentation.
  • Coordinate tenant move-ins and move-outs, inspections, and work orders.
  • Assist with service contract management, bidding, and performance tracking.
  • Support property maintenance, repairs, and capital improvement projects.
  • Ensure certificates of insurance and vendor compliance requirements are up to date.
  • Participate in property inspections, tenant events, and client meetings as required.
  • Contribute to team collaboration, process improvement, and consistent service delivery across the portfolio.

Requirements:

Qualifications

  • Bachelor’s degree in business, real estate, or related field preferred.
  • 2+ years of experience in commercial property management or related field.
  • Strong working knowledge of building systems, contracts, and vendor management.
  • Proficiency in Microsoft Office Suite and property management software (Yardi, MRI, Kardin, or similar).
  • Excellent communication and interpersonal skills.
  • Strong organizational skills with attention to detail and follow-through.
  • Ability to manage multiple projects, prioritize effectively, and meet deadlines.
  • Active real estate license (or willingness to obtain within six months).
