About this Role:

The Sales Assistant supports the overall sales centre experience by assisting customers, supporting Sales Representatives, and helping ensure the sales process runs smoothly. This role is responsible for maintaining accurate purchaser information, supporting documentation and compliance requirements, and coordinating key customer touchpoints. The position also helps ensure the sales centre, model homes, and customer-facing materials are professional, accurate, and aligned with company standards.


Key Responsibilities

  • Welcome and assist visitors to the sales centre.
  • Respond to general customer inquiries Create and maintain purchaser files.
  • Prepare and organize sales documentation.
  • Provide information regarding our communities, floorplans, pricing, incentives, deposits, available lots, promotions, and the home buying process.
  • Schedule appointments and coordinate customer meetings with Sales Representatives.
  • Maintain regular communication with prospects and assist with customer follow-up activities.
  • Enter purchaser information into CRM and sales systems.
  • Track deposits and supporting documentation.
  • Prepare agreements for Sales Representative review.
  • Schedule appointments.
  • Maintain model home and sales centre presentation standards.
  • Assist with preparation of purchase agreements.
  • Maintain purchaser records.
  • Support document execution and filing.
  • Coordinate routine purchaser communications.
  • Maintain accurate purchaser records.
  • Support FINTRAC and compliance requirements.
  • Ensure files are complete and audit ready.
  • Support weekly, monthly, and quarterly sales reporting requirements.
  • Assist agent in completing and signing the co-broke registration form.
  • Ensure presentation centres, model homes, and displays are maintained to company standards.
  • Verify accuracy of price sheets, marketing materials, brochures, and community information.
  • Coordinate purchaser closing gifts and homeowner recognition activities.
  • Monitor website information and community marketing materials for accuracy.


Experience

  • 1-3 years of experience in customer service, sales administration, real estate administration, homebuilding, retail sales, hospitality, or a related field.
    Post-secondary education in Business, Administration, Marketing, Real Estate, or a related discipline is considered an asset.
    Strong customer service and interpersonal skills.
    Excellent verbal and written communication abilities.
    Strong organizational and time management skills.
    Proficiency with Microsoft Office Suite and CRM systems.
    Ability to manage multiple priorities in a fast-paced environment.
    Detail-oriented with strong documentation and administrative skills.
    Ability to work collaboratively with purchasers, sales representatives, and internal departments.
