Project management expectations and job duties

1. Provide project management for the installation, replacement, repair, etc. of work as it relates to HVAC, plumbing, medical gas, and mechanical piping. This includes but not limited to all types of air conditioning systems, VRF, RTUs, split systems, WSHPs, plumbing piping, fixtures, water heaters, underground, medical gas outlets, fixtures, piping, mechanical piping, weld piping, stainless piping, fused piping, underground piping, setting equipment such as cooling towers, pumps, chillers, boilers, venting, etc.

2. Be proficient in Microsoft Suite (Word, Excel, SharePoint, Power BI) using Gant charts, and Adobe products.

3. Meet with Sales/Estimator on project once it is assigned to you to have a proper job handoff. Meetings should include Field Project Managers.

4. Provide project communication to the customer with input from Field Project Manager(s). This includes project introduction email and progress updates monthly or more frequently as required.

5. Collaborate with Field Project Managers to create schedules based on hours and scope of work to be performed.

6. Collaborate with Field Project Managers for job execution.

7. For specific contract projects, perform the required steps for job execution including contract review, permitting, submittals, subcontracts, material purchase, schedule of values, progress billing, progress meetings, close out documents, etc.

8. Maintain subcontractor relationships.

9. Leverage vendors for improved pricing opportunities.

10. Create purchase orders for equipment and materials, direct delivery.

11. Work with project coordinator on administrative tasks.

12. Be familiar with work in the field by making site visits as needed for projects. Large jobs (1 month or more) should see at least 3 visits, pre, mid, and close out. Smaller jobs (2 weeks -1 month) should see at least one visit. Jobs less than 2 weeks are discretionary visits.

13. Communicate weekly with Field Project Managers to meet deadlines and customer expectations.

14. Maintain and monitor project costs by utilizing Power BI and JPOC reporting. Report updates monthly.

15. Identify and provide written change orders when scope deviates from contract or agreed upon scope.

16. Hold pre-construction and progress meetings.

17. Maintain WIP reporting as jobs are awarded and updating the report as changes are realized.

18. Approve invoices against every job and approve payment based on contract stipulations.

19. Provide close-out documents to customers which may include pictures and warranty information.

20. Verify job is closed out by accounting in Power BI.
