Job description

Operations Manager (New Mexico)

Location: On-site in New Mexico

Department: Operations/Compliance

Reports to: Director of Operations / HQ Leadership

Industry: Licensed Cannabis Manufacturing & Distribution

About the role

We’re looking for an Operations Manager to run the day-to-day in New Mexico. You’ll be the hub between production, sales, compliance, and finance—keeping orders moving, inventory accurate, audits clean, and teams aligned. If you love structured systems, live for checklists, and can switch from a state inspection to a last-minute delivery schedule without dropping a beat, this is your role.

What you’ll do:

Sales Support

  • Review and approve orders, schedule fulfillment, and coordinate deliveries with our distribution partner and the sales team
  • Coordinate merchandise deliveries with our distribution partner and share route updates and schedules with the sales team
  • Process returns and submit for credits; notify sales of overpayments and underpayments
  • Coordinate payment pick-ups and pick-up orders with sales
  • Maintain BioTrack manifests and account folders; pull and send COAs and manage shared Google Drive COA folders
  • Attend a monthly distribution partner review and keep the team aligned on any route or schedule changes
  • Review and approve company vehicle requests and manage keys

Admin & Operations

  • Lead and host regulatory inspections (CCD, Fire Marshal, Scales, Hemp Bureau, etc.)
  • Process payments and deposits, maintain accounting logs and vehicle logs
  • Maintain components inventory daily; audit and reconcile available inventory and all outbound transfers daily
  • Process weekly production and fulfillment bonuses and maintain documentation; manage monthly bonus bags
  • Review and approve invoices and ACH/wire forms; route to the right parties for payment
  • Order and maintain all supplies (office, janitorial, department-specific)
  • Coordinate outbound and inbound shipments with the warehouse team
  • Provide in-house tech support as needed and maintain system access (Inscribe, BioTrack, Moth)
  • Maintain training logs, food handler records, employee and guest badges, and MSDS for all chemicals
  • Coordinate cross-department inventory audits
  • Submit documentation to the CCD for BioTrack issues or corrections
  • Maintain printers and cash counter
  • Send monthly reports: End-of-Month Sales, BioTrack Transfer, BioTrack Wholesale, and others as requested
  • Audit and reconcile weekly sales reports between MyTrace and BioTrack
  • Support hiring: conduct first interviews, new-hire day-one tours, confirm HR onboarding, and review compliance policies
  • Maintain inbound shipment records and share with stakeholders; send a monthly 90-day expiration report

Production

  • Own raw material procurement and production planning based on sales trends and field needs
  • Place terpene orders and process inbound raw materials; open raw material work orders in MyTrace
  • Maintain all compliance documentation and logs related to production
  • Schedule vendor pricing and check-in meetings with leadership
  • Reconcile raw material batches in MyTrace
  • Keep the production and inventory spreadsheet current, along with the Oil Lot Production log
  • Send all new raw material batches to secondary testing and review results

BioTrack & Compliance

  • Verify and vet accounts and licenses prior to shipment
  • Run monthly BioTrack audits and complete daily conversion audits
  • Maintain posted licenses, signage, and all compliance documentation
  • Schedule and document destruction events with video and records
  • Maintain COAs on the corporate website
  • Create and maintain products within BioTrack

What success looks like

  • 99% order accuracy and on-time delivery
  • ≤ 1% inventory variance across components and finished goods
  • 100% pass rate on scheduled and surprise inspections
  • COAs organized and sent within 24 hours of request
  • Zero late or missing compliance reports and clean monthly BioTrack audits
  • Production plans aligned to sales demand with minimal stock-outs and overstocks

What you’ll bring

  • 2+ years in compliance, operations, supply chain, or plant/warehouse management; cannabis experience strongly preferred
  • Working knowledge of BioTrack, MyTrace, Distribution, Inscribe, and Google Workspace
  • Proven strength in inventory control, scheduling, and cross-functional coordination
  • Hands-on compliance mindset with NM CCD familiarity, for both state and city.
  • Clear communicator who documents everything and thrives in a fast, regulated environment
  • Valid driver’s license and ability to lift/move up to 40 lbs as needed

Job Type: Full-time

Pay: From $30.00 per hour

Benefits:

  • 401(k)
  • Dental insurance
  • Health insurance
  • Paid time off
  • Vision insurance
