MAGIS is seeking a highly motivated and experienced individual to join our team as a Director of Operations. The Director of Operations (DOO) is the operational backbone of MAGIS, responsible for ensuring that our mission โ€” to empower soccer players to elevate their game, build confidence, and become future leaders of our society โ€” is consistently supported through excellent systems, family experience, and day-to-day operations. While our coaches develop players on the field and our founder focuses on growth, the DOO owns the day-to-day of the business โ€” the machine that makes everything else work: scheduling, client communication, data reporting, financial tracking, and the daily rhythms that keep the academy running and growing.

This is a full-time, salaried, on-site position based in Memphis, TN. Approximately 60% of the role is administrative and systems-based, with 40% field-based โ€” which includes coaching a small personal roster (capped at 10 players per week), but also regular on-site visits to observe sessions, check on facilities, support coaches, and maintain a firsthand pulse on the academy's day-to-day experience even when not personally training.

Key Responsibilities


Client Experience & Onboarding


  • Own the full onboarding sequence for every new family โ€” from welcome box to first session to the check-in cadence that follows.
  • Deliver the personal touches to maintain and increase the over-the-top experience inside of MAGIS
  • Resolve parent concerns promptly and professionally, always representing MAGIS's standards.


Data, Reporting & Financial Tracking


  • Conduct weekly data-quality checks across all coach platforms and operational dashboards.
  • Own monthly and quarterly KPI reporting: revenue, retention, renewal rate, churn, ALOE, and customer satisfaction scores.
  • Maintain one source of truth between internal tracking systems and QuickBooks.
  • Manage operating expenses against budget, forecast staffing and facility costs, and flag variances before they compound.
  • Provide management with clean and current data to make business decisions.


Scheduling & Facility Operations


  • Build and release the weekly training schedule across all MAGIS locations.
  • Manage field distribution and relationships at all training facilities.
  • Own weather-call communications and schedule adjustments.
  • Coordinate logistics for camps and group programs, including registration and parent communication.


Staff Coordination & Capacity Planning


  • Monitor coach utilization and lead flow data to assess when MAGIS is approaching capacity.
  • Build the data-driven case for when to hire the next coach.
  • Support the onboarding of new coaching staff into MAGIS's operational systems and workflows.
  • Foster a collaborative, accountable work environment across the team.


Marketing & Program Operations


  • Manage the inquiry-to-enrollment funnel and follow up on incoming leads.
  • Support program registration and logistics for camps and group events.


Coaching Roster


  • Maintain a personal coaching roster capped at 10 players per week, keeping the DOO grounded in the player and family experience.
  • Conduct sessions to MAGIS's standard and document progress within the academy's systems.


Knowledge, Skills, and Ability


  • 3โ€“5+ years in operations management, account management, or a systems-owner role where accuracy and follow-through had real consequences.
  • Demonstrated ability to optimize recurring processes โ€” not just run them, but identify friction, redesign workflows, and document improvements.
  • Analytical skills to interpret operational data, track performance indicators, and inform decision-making without needing a dedicated data team.
  • Experience managing or coordinating staff โ€” giving direction, tracking accountability, and supporting professional development.
  • Financial literacy sufficient to manage expenses against a budget, forecast needs, and flag variances before they become problems.
  • Excellent organizational and time-management abilities, with strong attention to detail and consistent follow-through.
  • Clear written and verbal communication skills for both internal coordination and external family-facing interaction.
  • Proficiency with CRM and operations platforms; quick to learn new tools (Monday.com, Acuity, Mailchimp, QuickBooks, and Google Workspace are all in use at MAGIS).
  • Comfortable and experienced using AI models as part of daily work โ€” tools like Claude, Gemini, and ChatGPT should already be in your workflow, not something you're curious about trying.
  • Must pass a background check and be comfortable with youth-safety standards.
  • Bachelor's degree in Business, Sports Management, Operations, or a related field preferred โ€” or equivalent demonstrated experience.
  • Background in sports, fitness, education, or a youth-serving organization is a strong plus.
  • Self-motivated, proactive, and able to develop solutions quickly.
  • Genuine warmth with kids, parents, and teammates.
  • The humility to follow a system and the confidence to improve it.


Physical Demands and Work Environment


  • Ability to lift, move, and transport training equipment as needed.
  • Must be able to work outdoors in varying weather conditions during coaching sessions.
  • Ability to work flexible hours, including some evenings for coaching sessions; primarily daytime hours for administrative responsibilities.
  • Valid driver's license with the ability to travel between training facilities.
