Director of Property Systems

The Property Management Systems Director is the single internal owner of the RealPage platform across the portfolio. This person is the first call when something breaks, the person who decides how the system is configured, and the person who makes sure every employee, from a new leasing consultant to a regional, knows how to use it correctly.

The role exists because property management software is only as good as its setup and the people using it. Inconsistent configuration, undocumented workarounds, and self-taught users cost real money in missed rent, bad data, failed audits, and wasted hours. This position eliminates that gap.

Location: In Office

Works closely with: Regional Managers, Accounting, Revenue Management/Pricing, Marketing, HR/Training, and RealPage account and support teams

Direct reports: None initially; may build a small systems and training team as the portfolio grows

• Serve as the system administrator of record for OneSite (Leasing & Rents, Facilities, Affordable/Student where applicable), Knock CRM, AI Revenue Management, Spend Management, Utility Management, resident portal, screening, and payments.
• Own user provisioning and deprovisioning, security roles, and permission sets, including same-day access removal for terminations.
• Configure and maintain property-level setup: units, floor plans, amenities, charge and transaction codes, lease terms, renewal offers, fee schedules, late fee logic, workflows, and approval hierarchies.
• Enforce configuration consistency across the portfolio so a report means the same thing at every community.
• Partner with Accounting on chart of accounts and GL mapping, deposit accounting, and month-end close dependencies.
• Maintain a documented configuration standard and a change log. No undocumented one-off settings.

• Act as tier-1 and tier-2 support for all RealPage questions from site teams, regionals, and corporate.
• Run a single intake channel (ticket queue or shared inbox) with published response expectations, rather than ad-hoc texts to whoever answers.
• Escalate to RealPage support when needed, own the case through resolution, and follow up. Employees should never be left chasing a vendor.
• Track issue patterns and fix root causes. A recurring "how do I" ticket is a training gap; a recurring error is a configuration or process gap.
• Publish a searchable knowledge base of fixes, job aids, and workarounds.

• Build and maintain a role-based training curriculum: leasing, assistant manager, community manager, maintenance, regional, and corporate accounting tracks.
• Own new-hire system onboarding. Every new employee is trained and verified competent in the platform within their first two weeks.
• Deliver live training in person and virtually, record on-demand modules, and maintain a job aid and SOP library tied to actual workflows, not generic vendor material.
• Administer certification or competency checks and report completion and gaps to Operations leadership.
• Translate RealPage release notes into plain-language "what changed and what you need to do" communications.
• Run refresher and remediation training for sites showing data quality or process problems.

• Own day-one system readiness for takeovers and new third-party management assignments.
• Build out property setup to portfolio standard: entity and GL structure, units, floor plans, amenities, charge codes, lease terms, fee schedules, and workflows.
• Manage data migration from the prior system, including resident, lease, ledger, deposit, and work order history.
• Validate unit and lease imports before go-live and reconcile opening balances with Accounting.
• Provision users and security roles for the incoming site team.
• Deliver go-live training on site or virtually, and provide hands-on support through the first full month-end close.
• Handle offboarding cleanly at disposition or management transition: final data export, owner deliverables, license reduction, and access removal.

• Audit how the platform is actually being used versus how it should be, and close the gap.
• Tune settings to drive results: renewal offer automation, delinquency and collections workflows, work order routing and response SLAs, application and screening flow, guest card follow-up cadences, and reporting cycles.
• Identify manual work that the platform already automates and eliminate it.
• Evaluate and pilot new modules, AI agents, and marketplace integrations; recommend adopt or decline with a cost and time-savings case.
• Build and maintain standardized report packages and dashboards so operations, ownership, and accounting all pull from the same source.

• Configure the reports, alerts, and escalation steps that make the portfolio collections standard measurable and enforceable at the site level, so misses surface early instead of at month-end.
• Standardize late fee logic, notice generation, payment plan handling, and eviction status tracking across every community.
• Maintain consistent, on-demand delinquency reporting for site teams, regionals, and Operations leadership pulled from one source.
• Flag configuration or process breakdowns that are producing collections misses, and fix them at the system level rather than site by site.

• Own the connections between RealPage and adjacent systems: screening, insurance compliance, utility billing, deposit alternatives, payments, and ILS and marketing feeds.
• Monitor integration health, catch failed syncs, duplicate records, and data mismatches, and drive resolution with the counterparty vendor.
• Evaluate new integrations for fit, cost, and data risk before they are connected to the platform.
• Serve as the internal administrator and training resource for designated non-RealPage tools [list the specific systems here], holding them to the same configuration, support, and documentation standards.

• Own the day-to-day relationship with the RealPage account and support teams.
• Manage license counts and true-ups as properties are added and removed, and validate invoices against actual usage.
• Lead renewal preparation with utilization data and pricing benchmarks; recommend what to keep, cut, or renegotiate.
• Escalate unresolved support issues and hold the vendor to its commitments.
• Track the product roadmap and bring forward capabilities the portfolio should adopt or test.

• Run recurring data hygiene audits: unit status accuracy, lease and charge mismatches, duplicate residents, stale guest cards, open work orders, incomplete move-outs.
• Maintain audit trails and support internal, ownership, lender, and affordable housing compliance reviews.
• Ensure screening criteria, fee structures, and pricing practices are configured consistently and in line with applicable jurisdictional requirements, including local and state restrictions on algorithmic rent-setting.
• Protect resident PII and enforce access controls appropriate to each role.

• Three or more years of hands-on RealPage experience in a multifamily operations, systems, or training capacity. OneSite proficiency is non-negotiable.
• Direct property management operating experience at the community manager, assistant manager, or regional level. This role must be credible with site teams.
• Demonstrated ability to train adults with varying levels of technical comfort, both live and asynchronously.
• Strong Excel and reporting skills; comfortable working with exports, pivots, and reconciliations.
• Clear written communication. This person writes SOPs and portfolio-wide announcements that need to be followed.
• Patience and service orientation. The internal customer is often frustrated when they call.

• RealPage administrator-level experience across multiple modules (Knock, AI Revenue Management, Facilities, Spend Management, Utility Management).
• Prior new-property onboarding or system conversion experience.
• Affordable/LIHTC or student housing compliance exposure.
• Experience building an LMS curriculum or certification program.
• Business intelligence or dashboard-building experience.
• Travel flexibility for on-site training and takeovers.

• Complete configuration audit of every community, with a documented list of inconsistencies and a remediation plan.
• Single support intake channel live, with response time expectations published.
• Role-based training curriculum outlined and new-hire onboarding module built.

• Measurable reduction in support ticket volume and time to resolution.
• 100% of employees trained and verified on the modules their role requires.
• Documented configuration standard applied portfolio-wide.
• Data quality audit exceptions trending down month over month.
• At least two manual processes eliminated or automated, with hours saved quantified.
• Every new property onboarded on schedule with day-one system readiness.

• Lead with the problem, not the task list: "You will be the person who makes RealPage work for our communities."
• Say explicitly that this is an internal-facing role. Strong candidates are often burned-out site leaders who are excellent at the system and tired of the property. That is exactly who to target.
• Include compensation range, travel expectation, and whether the role is on-site, hybrid, or remote. Systems roles pull a national candidate pool if remote is on the table.
