Job description

SALARY RANGE: $24.00-$26.00 per hour. The Engineering Administrator's provides administrative and operational support to the department by coordinating and ensuring that all projects are completed on time, within budget and meet high quality standards. The individual will also be responsible for monitoring repair requests and notify Lead Engineers, Sr. Administrator and Director of Engineering of any prolonged requests and requests that have not been assigned.
Essential Functions
  • Must adhere to the company's Service culture - 4 Keys to creating guests for life.
  • Must actively participate in team member referral program and be a Talent Ambassador for Silverado Resort.
  • Must participate in all resort-required meetings and training courses required.
  • Maintain high standards of personal appearance and grooming, which includes wearing the proper uniform/business attire and nametag.
  • The ability to multitask and prioritize departmental functions to meet deadlines.
  • Comply with Silverado Resort Standards and regulations to encourage safe and efficient resort operations.
  • Prepare daily, weekly, or monthly reports for all planned maintenance programs for the Engineering Department.
  • Coordinate project management activities, resources, equipment, and information with regulatory organizations.
  • Must be proficient in using Nuvola and ensure compliance with the resorts protocol.
  • Manage project-related paperwork, i.e., purchase orders, packing slips, quotes, etc. by ensuring all necessary materials are current, properly filed and stored.
  • Plan project schedules and new information.
  • Document and follow up on all out of order units and expedite the guest units so they are placed back into inventory as soon as possible.
  • Communicate all unit issues/work orders with Owner Relations Dept
  • Facilitate all appliances, HVAC, plumbing and pest control issues within the units with rental partners, vendors, Owner Relations, Senior Administrator and Director of Engineering.
  • Monitor project progress and handle any issues that arise.
  • Answering phones and providing services to guests, members, rental partners, and other departments.
  • Must maintain an accurate inventory of parts and supplies. This includes taking physical inventory for accuracy and maintaining par levels set by the director of Engineeri
  • Support Senior Administrator with assisting Safety and Loss prevention and Owner Relations with scheduling installation of Saltos and new connecting door hardware.
  • Monitor and process preventive maintenance (PM) and corrective maintenance work orders.
  • Track work order completion and follow-up with engineering staff to ensure timely closure.
  • Maintain accurate maintenance records within Nuvola.
  • Fill in charge backs daily in owner relations portal. Send list of billbacks to Owner Relations.
  • Abide by all resort policies and safety rules.
  • Perform other duties as requested by management.
  • Attend weekly Rooms maintenance meeting in absence of Senior Administrator.

Qualifications
  • Previous experience in administrative role is preferred.
  • Solid organizational skills, including multitasking, time-management & self-motivation.
  • Experience with Microsoft Office Suite (Excel, Word, Outlook, PowerPoint).
  • Experience in using HMS, Nuvola or hotel maintenance software preferred.
  • Strong organizational and time-management skills.
  • Excellent written and verbal communication skills.
  • Ability to maintain confidentiality and handle sensitive information professionally.

Work Conditions and Schedule
  • Flexible and long hours are sometimes required.
  • Exerting more than 20 pounds to lift, carry, push, pull, or otherwise move objects.
  • Must be able to sit/stand at a desk for up to 7 hours per day in front of the computer.
  • On occasions work may require exposure to chemicals, dirt, odors, noise, slippery/unstable/unlevel working surfaces.
  • This role requires operating a golf cart.
